If you answered yes, our Pinawa, Manitoba location is looking to fill the role of Administrative Assistant (AA). The Administrative Assistant is an important member of the team that directly supports the Whiteshell Laboratories Restoration Project (WLRP) General Manager (GM) office. This key position will provide essential support to the WL GM Office in the areas of office administration, site communications, meeting coordination and contractual tracking and reporting. The AA will ensure the effective and efficient administration and organization of a variety of complex and/or confidential materials with minimal instruction and guidance in order to meet WLRP and CNL\xe2\x80\x99s business objectives. The AA will have the ability to work well under pressure while effectively and successfully managing priorities to meet tight deadlines. Can you see yourself filling this role? Canadian Nuclear Laboratories (CNL) employees perform all duties in accordance with established health and safety and regulations/guidelines, policies and procedures (i.e. utilizing personal protective equipment as per safe work procedures). Notifies management or supervisor of all occurrences, injuries, illnesses or safety and health concerns which are likely to harm themselves, their co-workers or any other on the premises in a timely manner and in accordance with established reporting requirements.

What will you be doing?

\xc2\xb7 Coordinating the workflow of department manager/line director.

\xc2\xb7 Managing scheduling of meetings and appointments.

\xc2\xb7 Coordinating meetings, such as booking rooms, sending invites, ordering catering.

\xc2\xb7 Preparing correspondence, minutes, action lists; and prioritizing commitments.

\xc2\xb7 Tracking and following-up on actions placed on GM office and other division staff.

\xc2\xb7 Acting as liaison between GM office executives and Senior Leadership team and division staff.

\xc2\xb7 Organizing events such as division seminars, workshops and international conferences.

\xc2\xb7 Arranging/coordinating travel.

\xc2\xb7 Maintaining accurate office records and files/follow-up system for outstanding issue.

\xc2\xb7 Adhering to CNL\'s corporate document standards and rules (formats, storage and numbering protocols).

\xc2\xb7 Working with various groups both within and outside of the departments ensuring reporting requirements are met.

\xc2\xb7 Communicating objectives, directives, policies/procedures, and general information to staff, and ensuring quality of cross-functional administrative processes.

\xc2\xb7 Providing status updates and supporting documentation for various scorecard/project reporting.

\xc2\xb7 Handling sensitive and confidential information pertaining to all levels of Departmental and/or Divisional staff.

\xc2\xb7 Working with the GM office assisting in preparation of promotion cases.

\xc2\xb7 Coordinating meetings and gathering data from managers for various HR processes, such as performance management cycle, and succession planning.

\xc2\xb7 Assisting in the budget process (reporting forecasts, submissions to Finance).

\xc2\xb7 Coordinating smaller scale business support projects or providing administrative support to larger projects.

\xc2\xb7 Tracking and ordering supplies.

\xc2\xb7 Photocopying/printing.

\xc2\xb7 Submitting maintenance/IT requests.

\xc2\xb7 Submitting expense reports

\xc2\xb7 Maintaining confidentiality in all matters.

\xc2\xb7 Performing other duties as assigned.

What we are looking for:

\xc2\xb7 Secondary school graduation plus post-secondary training in Office/Business Administration or similar field.

\xc2\xb7 Minimum of seven (7) years\xe2\x80\x99 experience in an administrative role, or equivalent.

\xc2\xb7 Proficiency in MS Office with expertise in Microsoft Word, Excel, PowerPoint, Visio and Outlook.

\xc2\xb7 Detail oriented and comfortable working in a fast-paced office environment.

\xc2\xb7 Excellent written communication skills.

\xc2\xb7 Superior organizational skills and dedication to completing projects in a timely manner with ability to multi-task and prioritize work.

\xc2\xb7 Attention to detail and problem solving skills.

\xc2\xb7 Capacity to work independently without supervision.

\xc2\xb7 Must be \xe2\x80\x9cTeam\xe2\x80\x9d oriented with demonstrated ability to work well with others and promote a positive work environment.

\xc2\xb7 Demonstrated leadership skills with ability to train and develop others.

\xc2\xb7 Demonstrated tact, diplomacy, trust, and discretion in handling of sensitive and confidential information.

\xc2\xb7 Experience in, or willingness to be trained in the use of CNL business systems: ORACLE, ATOM, etc.

\xc2\xb7 Knowledge of Quality Assurance (QA) Manual and Procedures.

\xc2\xb7 Knowledge of radiation protection, environmental, QA and security compliance programs.
