We are a full-service financial planning and investment management firm located in downtown Vancouver and looking for someone who has an interest in the financial services industry. In this administrative role, you will be working with a team of Financial Advisors, Associates and other Administrative Assistants. The perfect candidate will take ownership of tasks, exhibit impeccable attention to detail and work in a team that directly services clients. After successfully training for three months, you may qualify to work remotely on select days. Please mention this feature during your interview if it is of interest.
You will be working for an entrepreneurial team with diverse revenue lines other than traditional investment management. This requires someone who is eager to learn, curious and who doesn't mind fulfilling tasks beyond their job description from time to time.
The role is part-time with the possibility of full-time employment in the future for the right candidate.
Primary responsibilities:
Maintain client database, electronic and paper files
Prepare processing and compliance documentation
Process new applications and client requests
Meeting and appointment booking
Respond to client email and phone inquiries in a timely, responsive manner and escalating to Advisor when appropriate
Keep up-to-date with compliance rules and administrative procedures
General administrative duties such as:
o Supply ordering
o Newsletter, statement and other mail outs
o Venue booking for outside office meetings/conferences
o Other duties as needed
Help with other tasks as required
Knowledge Skills, and Abilities:
Impeccable attention to detail
Strong computer skills including MS Office experience (Outlook, Excel & Word)
Ability to prioritize work flow daily and reprioritize as required adapting to changing needs of clients and advisor
Strong interpersonal, written and verbal communication skills
Ability to maintain strict confidentiality and professionalism
Experience with a Customer Relationship Management software is an asset
Education/Training
No previous training required but experience in financial services is considered an asset
