The administrative assistant provides administrative support to the church, working collaboratively with the Executive Administrator and Lead Pastor, always serving in a spirit of Christ-likeness and teamwork.
Hours:
Part-Time Hourly Wage Position (20 hours per week - 15 hours English congregation, 5 hours Mandarin congregation)
Supervision:
Position reports directly to and works closely with the Executive Administrator (and Lead Pastor) and works closely with the staff team.
Vacation:
(Set in consultation with Employment Standards Act)
Rate of pay:
$25 per hour. Set by the Elder Board and reviewed annually. Benefits and Alliance Retiral Fund may be part of this position as outlined in the Staff Manual, subject to part-time eligibility.
Primary Responsibilities:
To provide administrative support to Mountainview Alliance Church by:
Assisting with the overall administrative structures of the church.
Ensuring effective use of Planning Center, or other relevant software (including subscriptions) for administrative tasks.
Coordinating and liaising between pastoral staff and ministry leaders regarding administrative needs.
Producing effective communication documents.
Other administrative duties as assigned.
Office organization
Primary Greeter at MVA
Receiving and routing phone calls as necessary
Participate in mail outs (electronically and manually)
Data Systems
Working with Planning Center in areas of the administrative role. This includes:
Coordinating the use and rental of facilities through the Calendar module.
Working in a team approach in Congregational Care.
Weekly scheduling.
Maintaining filing and record keeping records as requested by leadership. (Digital filing as much as possible.)
Working with ProPresenter to load media for Sunday services.
Communication
Routing all mail/email and sending appropriate correspondence and email messages. This includes invoices.
Generating correspondence as requested by the pastors.
Preparing weekly communication in coordination with the leadership team.
Assisting the leadership team in special projects as time allows.
Purchasing:
Making sure supplies are ordered when needed, in particular the kitchen requirements.
Maintaining the purchase system for office and janitorial supplies (unpacking them, upon receipt).
Managing the office equipment (contacting computer and copier technicians), if needed.
Rentals
Negotiate rentals and confirming contracts and payments.
Checking issues around rentals.
Send invoices to renters.
Mandarin Congregation Duties (including, but not limited to):
Working with ProPresenter to load media for Sunday services.
Support ministry leaders with service scheduling.
Design material for church use e.g posters, cards, calendar inserts etc
Manage and update the Mandarin YouTube Channel.
Public relations, contact information updates
Serve as primary contact and liaise with external speakers
Prepare and submit Honorarium and Reimbursement request for payment
Additional Responsibilities:

Completing other special assignments that do not constitute permanent change in responsibilities.
Provides vacation coverage for Executive Administrator with payment of additional hours.

Qualifications:
Ideally, Diploma or certificate in office Administration and , or equivalent work-related experience.
Preferred 2 years' experience in an administrative position.
Keyboarding skills.
Windows, Google Suite, MS Office, including Power Point and MS Publisher. Knowledge and experience in Adobe Creative Suite and website knowledge are an asset.
Must have a pre-employment criminal background check.
Evangelical Church membership required.
