Journey Counselling Inc. is an established, fast-growing multidisciplinary therapy team currently hiring for an administrative assistant to join our support staff team and work a few evenings each week.
The ideal candidate will have a positive and enthusiastic attitude. We are interested in motivated people who take initiative and are driven towardssuccess; someone who is reliable. This is a casual evening and possible weekend position with regular predictable shifts that can be traded with other members of the admin team with sufficient notice.
If you are a self-starter and have administration experience and are looking for a couple evening shifts a week, then this is the position for you! Our work environment is fun, friendly, and moderately fast paced.
Job responsibilities
Greeting clients and answering incoming calls in a confident, polite and efficient manner. Visitors are to be greeted at the door and ensure their needs are met.
Scheduling and managing client appointments for various counsellors.
Accurately manage client database and Jane software profiles.
Performing clerical duties, such as filing, mail, process debit/credit payments, issue invoices and receipts, and assist in writing/editing letters.
Organizing the office/ambiance
Other duties as assigned.
Qualifications
Effective administrative and office skills with a minimum of 2 years of related experience.
Previous counselling/medical office experience would be an asset.
Office administration training e.g. MOA certificate will be an asset
Exceptional written and verbal communication skills in English.
Outstanding customer service with a willingness to exceed expectations on the phone and in person.
Excellent organizational skills with the ability to work independently while prioritizing daily and weekly tasks/projects.
Proficient computer skills in MS Word and Excel.
Experience with Janeapp and office management software, and use of Mac is an asset.
Efficient multi-tasking and maintaining courteous attitude under pressure.
Able to handle confidential information and use discretion when hearing client concerns.
Job Details
4:30pm - 8:30pm Wednesdays and Fridays. Primarily evening and possible weekend shifts
Salary commensurate with productivity and experience
