Position Overview

Responsible for providing administrative support for the Occupational Health and Safety (OHS) department in the Provincial Office of BCNU as well as for standing/ad hoc committees. The work is complex and requires a high level of responsibility, coordination, organization, and evaluation in order to determine and attend to the priorities that will meet the needs of the department. This position is under general supervision and operates with independence. The incumbent receives new assignments in the form of verbal, written or email requests.



Key Responsibilities

Provides administrative support for the OHS department in the Provincial Office of BCNU as well as for standing/ad hoc committees.

Performs administrative duties for Officers, and others, as required. Sets up and maintains filing systems; maintains up to date records of union functions, staff assignments, meetings, and logs. Maintains electronic databases and ensures the website content is current. Coordinates meetings for department, arranges meetings, facility appointments, travel, and accommodation. Drafts and prepares correspondence for signature. This may be routine, specialized, or confidential in nature. Takes minutes during meetings and formats for distribution. Proofreads documents and correspondence. Ensures timelines are adhered to with respect to department projects. Prepares and coordinates materials for special events (i.e., JOHS week) May be required to transcribe and type from notes, voice recordings, copy, rough draft, and verbal outline. This may be routine, specialized, or confidential in nature. Sets up and distributes copies of meeting notices, agendas, and correspondence. Required to deal with time sensitive issues.

Communication Skills

Responds to member enquiries. Makes and receives enquiries, takes and relays messages and information to a wide variety of contacts. Establishes own priorities within the framework of assignments received and resolves work assignment conflicts with team Coordinator.

Technical Skills

Works within the computerized network system Reviews/provides grievance arbitration or advocacy reports. May perform research for cases in databases and on the internet.

Performs other related duties as assigned.



Qualifications



The successful applicant must have:



1. A diploma or certificate in Applied Business Technology and three years of experience in an office environment or an equivalent combination of education, training, and experience.

2. Knowledge of medical terminology (or prepared to take a medical terminology course).

3. Current knowledge of standard office methods and procedures. Demonstrated ability to effectively utilize MS Office and UnionWare applications.

4. Strong interpersonal skills with demonstrated ability to establish and maintain effective working relationships with members, co-workers, and others.

5. Ability to organize work in a fast-paced environment and prioritize competing demands to ensure deadlines are met.

6. Ability to problem solve.

7. Ability to manage correspondence and research information.

8. Ability to accurately proofread submissions and briefs.

9. Ability to communicate effectively both verbally and in writing.

10. Ability to simultaneously listen and record minutes.

11. Ability to type a minimum of 65 words per minute.
