Job Summary

The Administrative Assistant is responsible for providing general administrative support to the Senior Vice President and the Chief Legal Officer (CLO) and their leadership team. The role coordinates travel arrangements, drafts and quality controls all correspondence, handles mail, updates contact lists, maintains office supplies, completes expense reports and invitations to CLO events.

Main Responsibilities

\xc2\xb7 Provide general administrative support to the CLO and the CLO team

\xc2\xb7 Reserve, update and track travel arrangements and itineraries for the CLO (e.g., flights, hotels, ground transportation)

\xc2\xb7 Respond to email, phone and in-person inquiries and follow up and return calls from senior staff

\xc2\xb7 Create an inventory of office supplies, materials and stationery and maintain proper stock levels

\xc2\xb7 Write correspondence and ensure the preparation and mailing of letters and cards from the CLO team following the correspondence management process established by the Executive Assistant (EA)

\xc2\xb7 Receive, sort and distribute mail

\xc2\xb7 Ensure that the CLO have a file containing all documents for meetings

\xc2\xb7 Prepare necessary documentation for the CLO team

\xc2\xb7 Submit and reconcile expense reports

Working Conditions

The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. Due to the nature of the position, the incumbent must be able to meet tight deadlines, handle pressure and stress.

Requirements

Experience

Administration or Office Management

\xc2\xb7 Minimum 7 years of experience in administration or office management

Education/Certification/Designation

\xc2\xb7 College Degree in Administration
