Reports to: Team Lead
Salary Range: $23.28 - $29.10 per hour.(Commensurate with experience and consistent with UHN Compensation Policy)
Hours: 37.5 hours per week
Status: Temporary Full-Time (Approximately 15 months)

The Administrative Assistant II will provide a critical administrative function within the Clinical Trial Agreements (CTA). Reporting to the Team Lead, the Research Agreements Administrative Assistant will work closely with the Team Lead and Manager to provide support to the core services of the Clinical Trial Agreements Team. Key responsibilities will include facilitating the execution of contracts and related paper flow, management of the research agreements database, initial assessment and intake of agreements and legal documents, and duties as assigned.

This position will have a substantial liaison component and will be required to communicate effectively with both internal and external parties including other UHN offices; exercises moderate judgement and decision making, using established policies and procedures, to resolve problems; responds to inquiries requiring a general understanding of departmental policies and procedures; exercises discretion in handling confidential departmental/patient information.

The Administrative Assistant will also provide administrative support to team as a whole. The team works in hybrid model working both virtually and in-office, the position will require regular in-office attendance.

About the Clinical Trial Agreements Office

The Clinical Trial Agreements (CTA) Office is a large and expanding department situated within Research Legal and falls under the provision of both Corporate Legal and Research at UHN. The CTA office helps to facilitate approximately 2,000 contracts a year for research involving human participants.

Thousands of research studies are undertaken at UHN every year. While some involve UHN researchers and clinicians only, most involve third-parties such as pharmaceutical and medical device companies, government or funding agencies, contract research organizations and other research institutions. It is imperative that appropriate legal agreements are in place to govern these relationships as well as to manage and mitigate risk to the UHN and UHN research participants.

Qualifications:

  • Completion of a Community College Diploma in General or Medical Office Administration or equivalent;
  • At minimum two (2) years related experience;
  • Experience in a Microsoft Office environment (Excel, Word and PowerPoint) as well as internet searches;
  • Previous on-the job experience with databases;
  • Excellent verbal and written communication skills;
  • Excellent interpersonal and customer service skills;
  • Excellent organizational and time management skills;
  • Comprehensive knowledge of organizational/office practices, procedures and standards;
  • Experience working in a health care environment preferred;
  • Ability to produce high quality work in accordance with Hospital standards;
  • Ability to work well under pressure and use good judgment in assessing difficult situations;
  • Ability to maintain confidentiality;
  • Knowledge of medical and scientific terminology;
  • Accuracy in data entry and attention to detail;
  • Comfortable with learning new systems quickly and efficiently;
  • Ability to work well in a team as well as independently;
  • Experience in a professional environment;
  • Familiarity with legal documents would be an asset;
  • Familiarity with the Tri-Council Policy on Ethical Conduct for Research Involving Human Subjects and some familiarity with Good Clinical Practice Guidelines would be an asset; \xe2\x80\xa2 Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
