Position Summary:





The Administrative Assistant - plays a vital role in supporting the Vice President, People, Strategy and Community, and the Vice President & Chief Financial Officer (CFO) through high-level administrative coordination. This position is responsible for a wide range of administrative activities including reception, calendar and correspondence management, document tracking, event coordination, policy and contract management, and project support across Finance, Human Resources and corporate operations. Working under the supervision of the Executive Assistant to the CEO & Board Liaison, the Administrative Assistant ensures consistency and excellence in administrative processes.



The Administrative Assistant provides support while being responsible for coordinating their own body of work in a fast-paced, dynamic, and ever-changing environment and demonstrates mastery in managing calendars, correspondence and documentation with professionalism. Advanced skills in Microsoft Outlook, Work, Excel and Adobe Acrobat are essential for success in this role. The position requires exceptional organizational skills, keen attention to detail, and discretion in managing sensitive financial and HR information.

Qualifications, Experience, Skills and Abilities:




Successful completion of post-secondary education at either the college or university level Minimum of three to five years senior level administrative experience, preferably in a health care setting Experience using web-based document management portals Demonstrated advanced skills and knowledge in Outlook calendar, management, creating and editing Word and Adobe Acrobat documents, preparing Excel spreadsheets and PowerPoint presentations Exceptional interpersonal and communication skills, both verbal and written, demonstrating tact and diplomacy Proven organizational and time management skills, with strong attention to detail Ability to deal with multiple tasks and deadlines Demonstrated ability to work independently and in a self-directed manner as well as collaboratively within a team in a fast-paced and ever-changing environment Demonstrated commitment to excellent customer service when interacting with patients, families, colleagues and physicians
