ADMINISTRATIVE ASSISTANT II for FORT McMURRAY



(1 part-time, temporary position available)



About the position:



McMan Youth, Family and Community Services Association is seeking a highly organized and proactive Administrative Assistant to join our team in Fort McMurray. This is an excellent opportunity for an experienced administrative professional to provide administrative support to the Collaborative Service Delivery Program office and staff.

This is a temporary position with the possibility of extension. The current end date is June 30, 2026.



Hours:

Monday to Friday, 8:30 AM to 4:30 PM, averaging 32 hours per week. Flexibility is required.

Location:

Fort McMurray, Alberta.

What you'll do:



Reporting to the Program Manager, the Administrative Assistant will facilitate organized and efficient office operations, provide support to the program manager and team, and act as the first point of contact for the public and the individuals and families we serve.

Key areas of responsibility will include:

Acts as first point of contact for in-person and telephone traffic. Manages incoming service inquiries through strong knowledge base of program services and resources.

Manages data and information, prepares correspondence, reports and materials for a variety of purposes to support the program manager, team and services.

Arrange or assist in the arrangement of a variety of events including meetings and staff/persons served social functions including booking caterers, renting and preparing event facilities, overseeing ticket sales, hotel reservations, etc.

Verifies, monitors, reconciles, and completes a variety of financial information within the program. Ensures that the appropriate documentation is completed, and accurate reimbursement is provided.

Supports hiring, onboarding and training processes by collecting, communicating and managing information as required.

Receives, sorts and distributes incoming and outgoing mail.

Ensures office equipment is operational and serviced on schedule. Acts as the liaison with equipment suppliers to manage equipment issues and repair.

Manages the inventory of all office supplies and equipment. Coordinates an effective schedule to place orders with suppliers to maintain supply inventory.

Acts as back-up and provides assistance as needed to other Administrative Assistant staff; works on special projects and other duties as assigned.

What you bring:



A diploma in Business Administration or a related discipline and a minimum of two years' experience as an administrative professional. Equivalencies may be considered.

Effective communication and problem-solving skills. Strong analytical, organizational and time management skills. You are naturally drawn to supporting others and improving processes and are able to work with confidential information.

A high degree of skill in Microsoft Office suite, Adobe, and video conferencing applications.

Ability to drive personal vehicle would be considered an asset.

Dedication to service excellence and strong commitment to work effectively as a member of a team.
