Position Overview: This is a full time 1-year contract position. The Administrative Assistant \xe2\x80\x93 Communications and Events is part of the Communications Team. The overall mandate of this team is to champion the vision, mission and values of CBOQ to our member churches, staff and volunteers.
Under the supervision of the Associate Director of Communications and Events, the Administrative Assistant role focuses on the successful support and development of the Communications department, including creating processes and systems to make the team effective and efficient. The Administrative Assistant provides administrative support and coordination of activities, programs and events developed by the Communications team.

  • A strong grasp of the English language. Must be able to proof documents and collateral materials for the communications team.

Responsibilities:
  • Support CBOQ\'s mission, vision, and values.
  • Manage the Communications team projects including but not limited to - Assembly, CBOQ Sunday, Annual Impact Report, Out of Operations e-news, Canadian Baptist e-news with a strong grasp for Mailchimp and CRM systems.
  • Manage the collection of accurate data as it relates to Members and Donors. (i.e., Annual Statistical Form, Member database, Donation receipts).
  • Provide registrar functions for three-day annual general conference (Assembly).
  • Provide administrative support to the Associate Director of Communications and Events, including tracking departmental goals, reviewing analytics, preparation of correspondence, agendas, filing, mass mailings, email contacts, travel expenses, meeting minutes, etc.
  • Excellence in English and proofreading.
  • Assist the Associate Director with budget monitoring, forecasting and reports.
  • Coordinate mailings for the Communications team (email and print).
  • Accept creative briefs and manage projects effectively through a project management software.
  • Work with other staff in a cooperative effort to complete tasks of common concern to the whole office, including tasks related to our annual Assembly.
  • Other duties as assigned by the Associate Director.

Requirements:
  • Commitment to the mission, faith and core values of CBOQ
  • Demonstrated high proficiency with Microsoft Office suite, including Office 365, Survey Monkey, Mailchimp, project management software and database management.
  • 3-5 years\xe2\x80\x99 experience in a similar role.
  • Keen attention to detail.
  • Ability to work in a hybrid work environment.
