The AMA has a hybrid work environment. The successful candidate will be based out of our Edmonton office and will have the opportunity to work from home but will be required to go into the office or attend in person when required. Occasional travel will be required to attend offsite meetings and events.

Advocacy and Engagement Overview



In support of all branches of the AMA, Advocacy and Engagement is responsible for member communication, media relations, government affairs and public advocacy/relations. Our role is to serve as internal consultants, helping the AMA to achieve its strategic and business objectives. Our areas of expertise include strategic communication planning, writing, design, publication management, website design and management, environmental scanning, event coordination, mailing and distribution logistics.

Position Overview



Reporting to the Manager, Digital Design & Communication, the Administrative Assistant, Digital & Team Support handles duties arising from AMA's many website and digital communication activities. The assistant is responsible for daily digital communication and website maintenance tasks. Working with the Manager, Digital Design & Communication and Digital Team, the position supports digital communication activities (newsletters, web updates, scheduling, advertising, reporting, etc). Additionally, the role also participates in the support and rotation of key Advocacy and Engagement administrative tasks.

Key Responsibilities:



Support the Digital Team in coordinating meetings, communications and other administrative tasks. Basic website editing tasks such as expiring old events and news items, updating standardized pages (publications, events, awards, committee openings, etc). Editorial support for digital communications including content review, content posting, newsletter mailing. Perform data-entry as necessary in the CRM and pull standardized analytics/usage reports for the web, intranet and digital publications. Basic graphic design/branding support for digital publications. Annual general meeting document coordination. Coordinating photo shoots with the AMA photographer, tracking and maintaining registry of consent forms and supporting AMA staff photography requests. Supports, manages and responds to advertising requests for Alberta Doctors' Digest and MD Scope. Help maintain Advocacy and Engagement files, documents and organizational structures. Monitor and triage webmaster inbox.

Education and Experience



Graduate of a recognized two-year business, secretarial or technical college program. Two-to-four years of office administrative experience. Experience with Microsoft Word, Windows, PowerPoint and Excel. Experience and comfortability working with digital communications tools (Content Management Systems, newsletter mailing systems, etc). Experience following standardized procedures to generate web reports (web visit/readership statistics, analytics, etc) is an asset. Minute/action taking experience.

Skills



Excellent communication and strong organizational skills. Exceptional ability with written language, grammar, attention to detail. The ability to identify and analyse problems and present solutions. A willingness to take direction but also work without supervision or direction. A willingness to work in a team environment with the department and with the organization. An interest and comfortability in learning and working with web-based publication systems such as email/survey management software, web-publishing software, etc. Demonstrate discretion and ability to handle confidential information. An interest in learning and expanding skills on the job is an asset.

The salary for this role is between $52,902 - $68,772 per annum.
