Under the direction of the City Clerk, the Administrative Assistant performs clerical duties. Carries out duties of Deputy Division Registrar for marriage licensing and burial permits; assists in the preparation of Council/Committee Agendas; maintains filing systems; prepares various documents including by-laws and Committee Reports; responds to telephone and over the counter enquiries; books meeting rooms; assists with Municipal Election preparations, processes, codes and circulates mail daily; deals with sensitive confidential information on a constant basis; helps maintain correspondence and insurance logs, provides relief for lottery licensing, collects fees and issues receipts for same.
Qualifications:
Two Year College Program - Office Administration
Three (3) years previous related experience
Demonstrated respect of confidentiality
Good keyboarding skills (minimum 50 w.p.m.) and general office skills
Ability to deal with Council, staff and the general public with tact and diplomacy
Excellent organizational skills
Proficiency in the use of computers, Electronic Agendas and Minutes, GIS, Naviline and Microsoft Office
Excellent communication skills
Demonstrated decision making skills
Ability to read interpret and explain City By-Laws
Ability to work independently and in a team environment
Ability to multitask and prioritize work
Ability to work under pressure and meet deadlines
Demonstrated ability to prepare Accessible Documents
Hours of Work:
Monday to Friday 8:30 a.m. - 4:30 p.m. (37.5 hours per week)
Duration: Temporary Indefinite
Environment: Unionized
Rate of Pay: $31.19 per hour
