Answering the telephone, handling membership inquiries and transferring calls to the appropriate person.
Greeting members and visitors.
Processing membership applications, activities and dues payments
Opening, distributing incoming/outgoing mail and couriers.
Responding to emails and forwarding to the appropriate person.
Assist in processing payables such as expense reports, daily invoices, Mastercard and American Express reconciliation and enter in Quickbooks Online
Assist in doing the daily bookkeeping for the office
Assist with responding to member inquiries including benefits and pension plan inquiries.
Liaise with members and benefits and pension plan administrators.
Provide general office administration such as faxing, photocopying, managing office supplies.
Assist with coordinating Newsletter production three to four times a year.
Assist in organizing events for the membership.
Experience and Qualifications
Bilingualism in French is required
2 years experience in a similar role
High proficiency in Microsoft applications, particularly Word, Excel, Outlook and Adobe Acrobat and Quickbooks Online are essential.
Ability to multitask and work with minimal supervision.
Team player effective in interacting with all levels in the organization.
Possess a high degree of professional maturity and be mindful of the significant degree of confidentiality required in this position.
Excellent time management skills to coordinate and track schedules, projects and activities.
Note that the location of the employment is in Metcalfe where there is no public transport.
This is a 14 months contract for a maternity leave replacement
The start date will be on September 8th 2025
