POSITION DESCRIPTION:



The Administrative Assistant/Bookkeeper is responsible for providing administrative and financial support to ensure the efficient operation of Prescott Group. This role includes bookkeeping, payroll processing, record-keeping, and general administrative tasks. The ideal candidate will have strong attention to detail, organizational skills, and experience managing financial records in a nonprofit setting.

Key Responsibilities:



Bookkeeping & Financial Support



Maintain accurate financial records, including accounts payable, accounts receivable, and general ledger entries. Process invoices, payments, and reimbursements in a timely manner. Reconcile bank and credit card statements monthly. Assist with financial reporting and provide data to support budget planning and audits.

Payroll Processing



Prepare and process payroll on a bi-weekly or monthly basis. Ensure accurate tracking of employee hours, benefits, and deductions. File payroll taxes and maintain compliance with labor laws. Address employee inquiries related to payroll and benefits.

Administrative Duties



Provide administrative support to leadership, including scheduling, correspondence, and document management. Maintain office supplies and ensure smooth day-to-day office operations. Assist with grant documentation and compliance reporting. Coordinate meetings, prepare agendas, and take meeting minutes as needed.

Compliance & Record-Keeping



Ensure financial transactions comply with nonprofit accounting standards. Maintain employee records related to payroll, benefits, and HR compliance. Assist with preparation for audits and grant reporting requirements.

Qualifications & Requirements:



Minimum of 2 years of experience in bookkeeping, payroll processing, or administrative support. Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite. Knowledge of nonprofit financial management is a plus. Strong organizational skills and ability to manage multiple tasks efficiently. Excellent communication and problem-solving skills. Ability to maintain confidentiality and handle sensitive financial and employee information with discretion.

Pay: $45,000.00-$50,000.00 per year
