produces the premium baked items that set our brand apart, and we are looking for a highly organized and versatile

Administrative Assistant

to support our Executive Pastry Chef and Senior Bakery Production Manager.

This role requires a detail-oriented, proactive professional who thrives in a dynamic food production environment. The Administrative Assistant will handle a broad range of administrative, coordination, and customer support functions to ensure the smooth day-to-day operations of the bakery.

Position Summary

Reporting to the

Executive Pastry Chef

and

Senior Bakery Production Manager

, the Administrative Assistant provides a wide range of administrative support including:

Data entry, records, and system management

Employee coordination and HR administration

Vendor and supplier communication

Ordering, invoicing, and product sourcing

Customer service and reception support


This is a fast-paced, hands-on role that requires exceptional organizational skills, the ability to juggle multiple priorities, and a passion for supporting a team in a food production environment.

Key Responsibilities

Perform a variety of administrative duties including answering phones, data entry, scheduling, reporting, and filing Manage bakery systems databases:

Reciprofity

- recipe management, nutritional information, and costing updates

ADP

- employee records, scheduling, and timekeeping Provide team coordination support including onboarding, employee records management, and scheduling support Place orders with suppliers, source products, and maintain vendor relationships Review and reconcile invoices; update product pricing as required Act as a liaison between the bakery, commissary, and retail stores to ensure smooth communication and accurate order fulfillment Provide reception and customer support, ensuring inquiries are responded to quickly and professionally Assist with event and activity coordination as needed Maintain accurate records for expenses, inventory, and production logs Support the Executive Pastry Chef and Senior Bakery Production Manager with executive assistant-level tasks such as correspondence, meeting scheduling, and minute-taking Additional duties as required to support bakery operations
Skillset Requirements

3+ years' experience

in an administrative or office coordination role, preferably in grocery retail, bakery, or food production environments Strong organizational and multitasking skills, with the ability to manage competing priorities in a high-volume environment Proficiency in MS Office Suite; experience with

Reciprofity

and

ADP

strongly preferred Strong vendor and supplier communication skills, with experience in ordering, sourcing, and invoice management Excellent communication skills (written and verbal), with a customer-service-focused approach Highly detail-oriented with strong record-keeping and follow-up skills Resourceful and proactive self-starter who can adapt to changing business needs Post-secondary education in Business, Administration, HR, or a related field is an asset Food industry knowledge or experience is an asset
