Administrative Assistant

to keep things running smoothly.

Position Summary


The Administrative Assistant will provide high-level support to the

Director, Plant Manager, and Senior Management Team

, while also assisting a staff of over 150 employees. This role is central to the operation of the commissary, handling a wide variety of responsibilities including administration, records management, logistics coordination, HR support, maintenance follow-up, and driver management.

Key Responsibilities



Supporting the Director, Plant Manager, and senior leaders with administrative tasks, correspondence, scheduling, and meeting coordination Maintaining accurate records and data entry for employee files, expenses, invoices, and maintenance logs Coordinating delivery logistics and managing a team of ~5 drivers, ensuring timely and accurate routing across the company Assisting with HR administration, including onboarding, orientation, employee paperwork, and supporting training and performance documentation Handling general employee support and inquiries, serving as a point of contact for commissary staff Assisting with facility and equipment maintenance requests, ensuring timely follow-up and resolution Supporting seasonal demands such as catering call volume, holiday scheduling, and overtime coordination Liaising with Head Office teams (HR, IT, Finance, Marketing) to ensure smooth communication and processes Performing additional administrative and coordination duties as needed to support commissary operations

Requirements



3+ years' experience as an Administrative Assistant or Office Coordinator, preferably in grocery retail, food service, or production environments Strong organizational and multitasking skills with the ability to support senior leaders and a large employee base Excellent communication skills (written and verbal) with a professional, customer-service-oriented approach Experience in HR administration, logistics coordination, or driver scheduling an asset Tech-savvy; proficient in MS Office and comfortable with systems such as ADP, ERP, or scheduling tools Highly detail-oriented, resourceful, and adaptable in a fast-paced environment Post-secondary education in Business, Administration, or a related field preferred Flexibility to support evenings, weekends, or overtime during peak holiday periods
