Administrative Assistant - Commissary Kitchen (Full-Time, Day Shift)About Us



Summerhill Market is a boutique grocery store chain in Toronto that specializes in scratch-made prepared foods and on-trend ingredients. Our commissary kitchen is the heart of our business, producing the gourmet prepared foods, baked goods, and catering that set us apart.

We are looking for a highly organized and versatile

Administrative Assistant

to join our Commissary Kitchen team. This role is primarily

day shift, Monday to Friday

, but requires flexibility to support occasional evenings, weekends, or overtime during the busy holiday season.

This is a

Swiss Army knife

role, providing

executive-level administrative support

to our Director and Plant Manager, while also assisting across HR, logistics, scheduling, data entry, and customer service.

Position Summary

The Administrative Assistant will act as a central hub for operations, supporting multiple areas of the business:

Executive Assistant support

for the Director and Plant Manager

HR support

, including employee files, hiring/firing administration, and disciplinary action documentation

Logistics coordination

, including scheduling and managing a team of ~5 Delivery Drivers, as well as liaising with third-party logistics providers companywide

Customer service support

, particularly during the holiday season, fielding and funneling high volumes of catering inquiries

Administrative tasks

, including invoicing, expense tracking, maintenance follow-up, records keeping, scheduling, and event coordination
Key Responsibilities

Provide

administrative and executive assistant support

: managing calendars, email correspondence, meeting scheduling, minute-taking, filing, and data entry Manage a wide range of

records and reports

, including invoices, expenses, maintenance logs, and employee files Coordinate and supervise

delivery drivers

and logistics, ensuring efficient scheduling, routing, and communication across the business Act as a

first point of contact

for high-volume catering inquiries, particularly during the holidays, funneling requests and ensuring customer needs are responded to quickly Provide

broad HR support

, including orientation, employee records management, health & safety initiatives, and supporting disciplinary documentation Support companywide activities such as staff events, meetings, and special projects Act as a liaison between the commissary kitchen, retail stores, warehouse, and external vendors to ensure smooth communication and operations Ensure all administrative functions and systems are maintained to support operational excellence Additional duties as required to support commissary and companywide operations
Skillset Requirements

3+ years' experience

in an Administrative Assistant, Office Manager, or Executive Assistant role (experience in grocery retail, food service, or production environments is an asset) Strong organizational and multitasking skills, able to manage competing priorities in a high-volume environment Exceptional communication skills (written and verbal), with a professional and customer-service-focused approach Experience in

HR administration

(hiring, onboarding, records management, disciplinary documentation) preferred Ability to coordinate and oversee

drivers and logistics operations

Tech-savvy: proficient in MS Office Suite, with experience in ERP or other business systems an asset Self-starter with a "can-do" attitude, resourceful and adaptable to changing business needs Highly detail-oriented, with strong follow-up skills and the ability to anticipate needs Comfortable supporting occasional evenings, weekends, and overtime during busy holiday seasons Post-secondary education in Business, Administration, HR, or a related field is an asset
