Administrative Assistant – Accounts Receivable & Purchasing Support

Job Description

We're a growing electrical supply company looking for a meticulous and highly organized Administrative Assistant to join our team. This role is critical to ensuring smooth day-to-day operations, especially in accounts receivable, purchase order follow-up, customer communication, and data management.



Key Responsibilities



Accounts Receivable:

Monitor and follow up on outstanding cash sale invoices/account payments Process incoming payments and reconcile accounts Communicate with customers regarding payment inquiries or overdue accounts
Purchase Order Follow-up:

Track open purchase orders and follow up with vendors on delivery status, then inform customers of delivery dates and any changes or supply issues. Ensure order confirmations, shipping notifications, and delivery times are documented on our customer facing resources(Email, Text Messages, Website) Flag any delays, discrepancies, or backorders to the purchasing and sales team
Data Administration:

Maintain accurate customer, vendor, and inventory records in our ERP/CRM/Website system Input and cross-check order details, pricing, and product information Generate basic reports and data summaries as needed
Customer Service:

Respond to customer inquiries via phone and email professionally and promptly and note converations in our ERP/CRM/Website Assist customers with order tracking, account questions, and general support Liaise with internal teams to ensure high levels of customer satisfaction Assist with sales counter and shipping by double checking orders, pikcing orders, putting stock away when warehouse is overlaoded

Qualifications:



2+ years of experience in a similar administrative, accounting, or logistics support role Strong understanding of accounts receivable processes and purchase order workflows Excellent attention to detail and ability to identify inconsistencies or errors Comfortable navigating spreadsheets, accounting systems, and order entry platforms Strong written and verbal communication skills Ability to focus on one task at atime and prioritize in a fast-paced environment

Nice to Have:



Experience with accounting/CRM/Website software Familiarity with electrical or wholesale distribution industry
