Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Under the general supervision of the Director of Patient Services, Mental Health-HSC, and working within a team environment, the incumbent is responsible for effective, efficient, administrative support to the Management Team. Main functions include Providing comprehensive confidential Administrative Assistant support to the Director of Patient Services, Mental Health-HSC. Liaising with, and maintaining a close working relationship with, those who directly report to the Director. Implementing system improvements, designing and working with staff during quality and performance improvement projects. Liaising and communicating effectively with all levels of staff, government, region and the public.

Experience

  • Three to five years related experience and progressively responsible administrative assistant/secretarial experience, preferably at a senior level.
  • Minimum of 1 year in auditing, quality control &/or quality assurance experience in a regulated industry with knowledge of ISO, FDA and Quality Systems regulations preferred.
Education (Degree/Diploma/Certificate)
  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized administrative assistant/secretarial training program required.
  • A combination of education and experience may be considered.
  • Training/expertise in quality and performance-improvement methodologies (e.g. Lean, Six Sigma, SPC, PDSA, etc.) required.

Qualifications and Skills
  • Typing 60-75 wpm, demonstrated proficiency in the use of Microsoft Office required.
  • Advanced computer skills including word processing, data management, spreadsheets, databases (including queries and reports) required, as well as experience using related software applications such as SPSS and Oracle Crystal Ball.
  • Knowledge of quality management tools and processes and statistical procedures and applications would be an asset.
  • Knowledge of process and quality system design is essential.
  • Knowledge of Patient Safety & Quality Improvement methodologies an asset.
  • Ability to record and transcribe minutes of meetings is required.
  • Excellent interpersonal skills and English communication skills, both oral and written are required.
  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
  • Independent decision making and judgment required.
  • Must be well organized and able to establish priorities to meet deadlines and adjust priorities to reflect changing requirements.
  • Ability to work independently and communicate effectively with all levels of staff, government and the public.
  • Demonstrated ability to effectively contribute to a team environment.
  • Ability to maintain a high level of confidentiality.
