Position Summary

Reporting to the Manager of Executive Operations and supporting the UR International senior management team, the Administrative Assistant - Executive Operations advises and provides highly confidential senior administrative support to the Manager to assist with the effective and efficient administration of all departmental operations.

This position also assists the Manager with all assigned special projects, which requires working closely with all other units within UR International and various departments within the University of Regina, including the President and Vice-President\'s Offices, Human Resources, Financial Services, Information Services, Facilities Management, Supply Management Services, among others.

Additionally, this position is responsible for UR International accounts payable and accounts receivable, processing international wire transfers and ensuring incoming allocation of funds is accurate.

What You Will Do:

  • Compile, update and report financial tracking of various accounts in an accurate and timely manner.
  • Complete monthly financial claims and reconciliation for various accounts and ensure accuracy in line with University policies.
  • Maintain accurate record keeping of financial, contractual, and human resource documents to support strategic financial and Human Resource decisions.
  • Process accounts payable and accounts receivable requests (e.g., requisitions for payment, wire transfers, cheque requests, honorariums, invoices for external vendors)
  • Communicate the University\'s policies and procedures to internal and external stakeholders from various backgrounds and professional levels.
  • Coordinate and manage the Manager\'s calendar and schedule.
  • Primary Account Requester and Information Services liaison; coordinates the account requests and administrative processes to ensure smooth operations throughout the department.
  • Responsible for maintaining general accurate and current information on the website;
  • Perform other duties as assigned.

Position Requirements

What You Will Bring to the Position:
  • Grade 12 supplemented by the completion of some post-secondary education in finance, business, commerce, or related fields.
  • Minimum of four (4) years experience working in a senior administrative role, preferably within a university environment.
  • International professional experience is an asset.
  • The ability to communicate fluently in English is required; the ability to communicate in an additional language is a strong asset.

  • Advanced computer skills and previous experience with all on-campus programs (Banner, Cascade, E-Recruit, FAMIS, FAST, Footprints).
  • Knowledge of University policies and procedures.
  • Demonstrated ability to interpret policies and make sound judgment decisions.
  • Proficiency in creating, composing, and editing written materials and reports.
  • Demonstrated ability to organize multiple tasks and meet deadlines while maintaining accuracy and attention to detail.
  • Strong ability to make effective administrative and procedural decisions and recommendations on sensitive and confidential issues.
  • Must maintain confidentiality of records and information.
  • Excellent time management and organizational skills.
  • Strong commitment to excellence in customer service.
  • Strong interpersonal skills to establish and maintain cooperative working relationships with domestic and international students, faculty, staff, and the general public.
  • Ability to work in a fast-paced, high-pressure and diverse team environment.
Physical Demands
Pay Grade CUPE Phase 5
Salary Range $53,617.20 - $72,381.40 Annually
Status Permanent
Work Hours
  • Monday to Friday: 8:15 a.m. - 4:30 p.m.
  • Work outside regular business hours may be required.
  • Remote work is not an option.
  • Travel within Canada and abroad may be required.
