The Administrative Coordinator is responsible for ensuring organizational effectiveness and efficiency. They report to the Executive Director of the TRC.
The Coordinator will have strong people skills, be able to manage a variety of administrative and clerical tasks and be proficient with computers (e.g. Microsoft Office, Google Workspace)
Responsibilities
Manage TRC's building including equipment, maintenance, security and service contracts.
Collaborate with Pathways Canada to maintain the integrity of their databases while onboarding staff to new systems and processes.
Create content for the TRC's website, social media and email list.
Create content for TRC internal communications including signage for the inside and outside of the building.
Facilitate communication with the TRC's Board of Directors through presentations, agendas and meeting minutes.
Ensure the physical, emotional and digital safety of all TRC staff in collaboration with the Joint Health and Safety committee.
Maintain an inventory of office supplies, technology and equipment.
Organize and carry out fundraising initiatives.
Recruit, train and supervise the volunteer team.
Facilitate experiential learning placements (e.g. work-terms and summer students)
Document TRC finances including invoicing, petty cash, bank deposits and donations.
Manage the Community Cluster's needs with regards to TRC building maintenance and booking spaces.
Provide additional administrative support to members of the program staff as required.
Job Requirements
Undergraduate degree or community college diploma in Business or Office Administration
1-2 years experience as an Administrative Assistant, Project Coordinator, or similar role.
Must provide a Criminal Record Check with vulnerable sector screening.
Skills
Ability to take initiative, creatively problem-solve, and make decisions within the job scope.
Superior written and oral communication skills.
Present with the professionalism required by human services or health care environments.
Understanding of the operating requirements for non-profit organizations. (e.g. adaptability, resiliency)
Able to multi-task and prioritize in a dynamic work environment.
Preserve confidentiality, dignity and well-being of all TRC stakeholders.
Maintaining confidentiality of records and information.
Database, file management and cyber-security experience.
Additional Information
Salary will be negotiated based on a combination of education and experience.
