The Continuing Care Safety Association is in the prevention business and provides education and training services and support to 360 member organizations within the continuing care sector aimed at preventing staff illness and injury. To be successful, candidates must be outcomes focused to ensure exceptional management of business-related tasks for the CCSA team such as maintaining CCSA\xe2\x80\x99s website, drafting and publishing CCSA communications, creating reports, taking minutes and preparing meeting packages and other organizational tasks. You must have a proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. You must also have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration coordinator in the past. Ultimately, you are accountable for ensuring that all tasks and projects are completed on time and meet high quality standards. The successful candidate will have initiative, be a self starter, possess excellent organizational and communication skills, and have the ability to prioritize their workload. Responsibilities include, but are not limited to:
  • Effectively and efficiently manage time to achieve CCSA\xe2\x80\x99s Strategic Plan and performance excellence, maintaining work/life balance, meeting member needs, managing calendar/schedule, providing follow-up and responding to enquiries / requests for support,
  • Maintain and monitor project plans, project schedules, budgets and expenditures.
  • Manage CCSA\xe2\x80\x99s website and monitor analytics to support continuous improvement.
  • Manage CCSA\xe2\x80\x99s learning management system and monitor analytics to ensure accurate tracking and support continuous improvement.
  • Write and edit content for various communication channels, including press releases, newsletters, social media, and website content.
  • Manage social media accounts, including creating and scheduling posts, responding to comments and messages, and monitoring analytics.
  • Assist in the coordination and execution of events, including scheduling, logistics, and event promotion.
  • Prepare financial statements, reports, memos, and other documents.
  • Handle basic bookkeeping tasks.
  • Accurately file and retrieve corporate records, documents, and reports.
  • Research and conduct data collection to prepare documents for review and presentation by the board of directors, committees and leadership team.
  • Assist in the development and implementation of communication strategies.
  • Assist with administrative tasks, such as scheduling meetings, preparing agendas and meeting packages, and maintaining communication databases.
This position reports directly to the Executive Director. The successful candidate must have proven experience as an executive assistant or other relevant administrative support and/or project management experience. Minimum 3-5 years administrative, website administration and social media experience, along with advanced knowledge of professional office systems including Microsoft/Office 365, QuickBooks Online, etc. If you are looking for new and exciting challenges, this could be your next career move.
