The Telfer School of Management at the University of Ottawa is located in the heart of Ottawa and is the proud academic home of some 4,300 students,200 faculty members, over 100 staff members, and over 30,000 alumni.

Position purpose:
Reporting to the Program Manager, EMBA, the incumbent will act as primary point of contact for all students registered in Telfer Graduate Programs. Provide support by planning, coordinating and executing various academic and administrative activities to ensure an exceptional student experience is delivered. Plan and organize all academic activities (student relations, event planning and logistics, and resource coordination) of the faculty's graduate programs with the objective of ensuring the highest level of student satisfaction.

In this role, your responsibilities will include:

  • Communicating with students all pertinent information over the course of the duration of the program (scheduling, course materials, important deadlines and notices, etc.).
  • Ensuring rapid communication following students' requests by answering general questions they submit via email, telephone, or in person.
  • Gathering, evaluating and communicating the relevant information in order to redirect students to the appropriate services and ensure they receive the proper support to improve their academic performance for retention purposes.
  • Assessing and relaying student needs to the Program Managers and Program Directors in the spirit of constant improvement and optimization of the student experience.
  • Performing basic academic functions in student files such as course registrations, grade entry, etc.
What you will bring:
  • Post-secondary education in business management, marketing or other related areas. Knowledge of Microsoft Office Suites: Outlook, Word, Excel, PowerPoint, Access
  • Minimum of 2 years of experience in event planning and event coordination
  • Demonstrated strength in client engagement and relationship building
  • Ability to prioritize, lead, organize, coordinate and manage concurrent projects in a result oriented environmentAbility to work independently with clear set of plans and priorities in a fast-paced, high energy and entrepreneurial work environment
  • Ability to think critically and creatively to quickly solve issues/concerns with a focus on helping the programs to have successful cohort year over year
  • Bilingual - French and English (spoken and written)
  • Ability to work variable hours according to the class schedule for each program (evenings and week-ends).
  • Ability to travel occasionally for administrative support during experiential learning initiatives.
Bilingualism: French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
