Administrative Support (Temporary) - Busy Season

The opportunity
Smythe is looking for an Admin Support on a temporary basis to help support our admin team during the busy tax season. Please note that this is an on-site position working from our Downtown Vancouver office from 12th March 2025 until April 30th, 2025.
Responsibilities
•Reception•
• Answer general phone inquiries using a professional and courteous manner
• Direct phone inquiries to the appropriate staff members
• Reply to general information requests with accurate information
• Greet clients/suppliers/visitors to the organization in a professional and friendly manner
•Office administration•
• Sort incoming mail, faxes, and courier deliveries for distribution
• Prepare and send outgoing faxes, mail, and courier parcels
• Forward incoming general e-mails to the appropriate staff member
• Scanning mail, PBC documents and client files
• Monitoring and stocking the office supplies ensuring that basic supplies are always available
• Saving documents into databases according to the office procedures
• Back-up electronic files using proper procedures
• Make meeting and other arrangements for staff
• Assist with assembly of T1 packages during tax season
• Use computer word processing, spreadsheets, and database software to prepare memos, and documents
What we are looking for
•Education•
• High School Diploma
• Post secondary education in business, computers, or office management is an asset
•Experience•
• 1-2 years of experience in an office environment
• Experience in professional services is preferred
