About the Role

We are seeking an Admin Coach to join our dynamic, community-based organization supporting people living with brain injury, stroke, or other complex health conditions as they redesign their lives--moving away from institutional models toward more self-directed and meaningful living.



The Admin Coach is at the hub of our operations, helping to ensure that our systems run smoothly and that people have what they need to succeed. This role brings organization, connection, and calm to busy, purposeful work.



Key areas of focus include:

Coordinating daily staffing schedules and helping to fill staffing gaps when they occur. Managing the ordering, delivery, and inventory of household and office supplies to ensure each home and workspace has what's needed for daily life and work. Providing administrative support as a welcoming presence for visitors, families, and partners--the first friendly face they meet when arriving at one of our homes or offices. Managing mail, phones, and correspondence with warmth and professionalism. Assisting with documentation and record keeping, ensuring files and systems, including electronic health records, are accurate and up-to-date. Supporting licensing, safety, and administrative compliance processes. Fostering team and cultural engagement by building strong relationships across homes, connecting coaches and operations, and bringing a spirit of helpfulness, inclusion, and collaboration.

What You'll Bring

Strong administrative and organizational skills, with experience coordinating schedules, information, and systems. Confidence using digital tools and platforms (Microsoft 365, SharePoint, Teams, etc.). Ability to manage supply ordering, delivery tracking, and inventory in a timely and cost-effective way. Excellent communication and interpersonal skills, with the ability to build positive, professional relationships across teams and with visitors, families, and partners. Attention to detail and accuracy in documentation, record keeping, and compliance processes. A flexible, solution-focused mindset and readiness to pitch in wherever needed. Previous experience in healthcare, rehabilitation, or community-based settings is an asset but not required.
