About the Role

We are seeking a detail-oriented and tech-savvy Accounts Receivable and Billing Assistant to join our finance team. The ideal candidate will have prior experience in a manufacturing environment and will be responsible for ensuring timely collection of payments, accurate billing, and maintenance of all financial records. This role requires strong organizational skills, proficiency with the Microsoft Office suite, and a proactive approach to streamlining accounting processes.

Key Responsibilities

Assist with the full accounts receivable cycle, from invoice generation to payment application and reconciliation. Generate and send accurate invoices and billing statements to customers in a timely manner. Process and apply customer payments accurately, including checks, electronic transfers, and credit card transactions. Monitor customer accounts for delayed payments and initiate collection activities through phone and email communication. Investigate and resolve billing discrepancies, working closely with other departments like sales and customer service. Maintain and organize all financial documentation, both digitally and physically, including invoices, payment records, and customer files. Support month-end and year-end closing processes by reconciling accounts and preparing necessary reports. Assist in identifying opportunities for process improvement, such as transitioning to electronic record-keeping and automating workflows.

Qualifications and Skills

Proven experience in an Accounts Receivable role, preferably within the manufacturing industry. High level of proficiency with Microsoft Excel, including the use of spreadsheets for data analysis and reporting. Strong comfort level with the entire Microsoft Office suite (Word, Outlook). Basic technical or IT knowledge is a strong asset, including familiarity with accounting software and troubleshooting. Exceptional organizational skills and attention to detail to maintain accurate and up-to-date records. Excellent communication and interpersonal skills for interacting with internal teams and external customers. Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
Education and Experience

A minimum of 2 years of experience in an accounts receivable position is preferred. Experience with Misys MRP system, is a plus

Experience



Proven experience in accounts receivable or bookkeeping roles is preferred. Familiarity with accounting software such as Sage is highly desirable. Strong math skills and the ability to analyze financial data effectively. Excellent attention to detail with a focus on accuracy in all tasks performed. Previous experience in financial services or related fields is a plus. Strong communication skills with the ability to interact professionally with clients and team members.
