Accounts Payable Specialist

Job Description



The Accounts Payable Specialist is responsible for the processing and payment of vendors. This role ensures that vendor invoices have been received, approved by the appropriate individuals, coded, and processed for payment in a timely manner. The Accounts Payable Specialist is also responsible for the reconciliation of purchasing accruals, and for ensuring that any accrual shortfalls or overages are addressed. Accounts Payable

  • Distribution of incoming vendor invoices and vendor emails
  • Coding of vendor invoices
  • Selecting vendor & supplier Canadian dollar invoices for weekly cheque/ACH/EFT payments, and processing of weekly payment runs for Barentz Canada
  • Vendor statement reconciliation & inquiries
  • Monitoring for any fraud activity
Purchasing Reconciliation
  • Reconciliation of all purchasing accruals (made by Logistics) to actual invoices presented for payment by material overhead suppliers
  • Addresses any issues with shortfalls or overages on accruals by following up with Vendor, Logistics, Operations, and Director of Accounting as required (to make any stock related/invoicing adjustments
Other Duties and Responsibilities
  • Performs general ledger journal entries as required for stock transactions, warehouse transfers, etc. as assigned
  • Electronic filing of documents
  • Provides filing support as needed for the Accounting team
  • Backs up the AP team for portions of their duties as required
  • Supports and leads by example, Barentz’ culture, strategies, pillars, and fundamentals
  • Participates in ongoing personal development opportunities
  • Performs other duties as requested
Education, Experience, Required Knowledge and Skills
  • Accounting degree or diploma or equivalent work experience
  • Detailed knowledge of basic accounting principles
  • Ability to work independently and efficiently
  • Self-motivated, high energy, and engaging level of enthusiasm and positive outlook
  • Effective written and verbal communication skills and the ability to adapt communication style to the audience as needed
  • Software knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint, and Teams
  • Must have access to the appropriate internet connect ability
  • Acts legally and ethically in all professional relationships in adherence with Barentz’ values and fundamentals
