Job Description

Job Summary
We are seeking a highly organized and detail-oriented Accounts Payable & Receptionist to manage our accounts payable functions while also serving as the first point of contact for visitors and phone inquiries. The ideal candidate will have experience with QuickBooks, strong communication skills, and a proactive approach to handling financial and administrative tasks. This role involves processing payments, reconciling accounts, greeting visitors, and answering calls in a professional and friendly manner.

Key Responsibilities

Accounts Payable Duties:

• Process and record vendor invoices in QuickBooks with a high level of accuracy.
• Review and verify invoices against purchase orders and contracts.
• Prepare and process payments via cheque, electronic transfer, and other approved methods.
• Reconcile supplier accounts on a monthly basis and address discrepancies.
• Reconcile expense accounts and ensure proper classification of expenses.
• Prepare weekly reports on bills to be paid and maintain accurate accounts payable records.
• Communicate with suppliers via phone and email regarding payments, invoices, and account inquiries.

Reception & Office Administration Duties:

• Answer and direct incoming calls in a professional manner.
• Greet and assist visitors, ensuring a welcoming and organized front desk area.
• Handle incoming and outgoing mail, packages, and deliveries.
• Maintain office supplies and assist with general office administrative tasks.
• Support other departments with clerical duties as needed.

Qualifications & Skills

• 2+ years of experience in accounts payable and administrative support.
• Proficiency in QuickBooks (required).
• Experience handling phone reception and visitor interactions.
• Strong organizational skills with the ability to multitask.
• Accuracy and attention to detail in financial and administrative tasks.
• Proactive and problem-solving mindset.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
