We are seeking a highly organized and detail-oriented individual to manage purchase orders, invoices, and office inventory. The role is responsible for ensuring timely and accurate processing of accounts payable, office inventory, courier shipment coordination and maintaining organized records. The ideal candidate is proactive, efficient, and able to prioritize tasks effectively in a fast-paced environment. Strong Microsoft Office skills, particularly Excel, and accounting experience are required.

Overtime Compensation

Key responsibilities include but are not limited to:



Process and enter new purchase orders (POs) and accounts payable invoices in ACCPAC. Upload all supporting documents (invoices, packing slips, quotations) to POs. Print and attach POs to invoices, close completed POs, and manage batch entries accurately. Order office and warehouse/plant supplies (safety equipment, absorbents, stationery, etc.) as requested. Compare prices and availability to ensure cost-effective purchases. Maintain office inventory records and organize items upon receipt. Collect, verify, and submit staff expenses by deadlines to support payroll processing. Arrange and book shipments, including oil samples and other parcels. Print labels, coordinate with courier companies, and track deliveries. Maintain logs such as oil sample records and annual manifest summaries. Answers phones in professional and courteous manner. Record truck repairs and maintenance in MTS and file appropriately.

Qualifications:



Post-secondary education in office, business, accounting or equivalent Strong Microsoft Office skills, particularly Excel. Accounting experience and knowledge of accounts payable processes. Experience with ACCPAC or similar accounting software. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Strong communication and coordination skills with internal teams, suppliers, and management. Proactive problem-solving skills and ability to work independently.
