Job Description

The Whispering Pines / Clinton Indian Band (WPCIB) is one of the seventeen bands within the Secwepemc territory. Traditionally from the Clinton area, WPCIB membership includes ancestral lineage from both the Pelltiq't te Pesellkwes (People of the White Earth/ Kelly Lake) and Steke'7us (People of the Little Hanging Bridge (Big Bar)). As a Band we are committed to serving our community and membership as well as building a future that upholds our Ancestral responsibilities.

Reporting to the Finance Director, the AP/AR Clerk is responsible for accurate and timely processing of accounts payable and receivable, as well as bank reconciliations, while ensuring compliance with all relevant band policies, legal requirements, and contractual agreements. By executing these bookkeeping responsibilities with diligence and consistency, and exhibiting exemplary customer service, the Clerk supports WPCIB's commitment to service excellence and reinforces our reputation as a reliable partner.

Key Duties and Responsibilities



Accounts Payable:



Review and flag invoices needing attention from the Finance Director.

Enter invoices into Sage and ensure appropriate approvals are obtained.

Reconcile vendor accounts, ensuring timely payment to vendors and maintaining positive business relationships.

Prepare payment remittance for approval.

Process approved cheque requisitions, travel claims and invoices.

Upload electronic funds transfer (EFT) files to the bank, notify signees and monitor status.

Arrange for payment of and record monthly telephone, hydro and natural gas bills.

Prepare year-end reports for accounts payable.

Assist in preparation for audits as required.

Accounts Receivable:



Prepare accounts receivable for authorization and distribution.

Issue invoices for services rendered and reimbursements.

Follow up on outstanding payments and review transactions for accuracy.

Ability to book all grant and fund revenue into GL through Sage AR by using proper GL code.

General



Maintain electronic and paper filing system.

Resolve discrepancies and respond promptly and professionally to customer and vendor inquiries.

Ensure compliance with band policies, contractual agreements and legal requirements.

Collaborate with the finance team, administration and other departments.

Participate in weekly team meetings and training as required.

Other duties as assigned/required.

Qualifications



Required

Accounting Diploma with a min. of 1 year of accounting experience (or equivalent experience of min. 5 years without diploma).

Experience in First Nations fund accounting and knowledge of applicable laws and accounting principles.

Working knowledge of Sage or other accounting system.

Strong numerical literacy.

Proficiency in using computers: Microsoft 365, Microsoft Word, Excel, Outlook, PowerPoint.

Preferred

Experience with payroll administration.

Experience working with First Nations peoples.

Knowledge of Secwepemc Nation history and culture.

Knowledge and appreciation of working in service of Truth and Reconciliation with Indigenous Peoples.

Wage dependent on experience and qualifications.

Job Type: Part-time

Pay: From $28.00 per hour
