Summary
The Accounting Coordinator supports the organization's financial operations by maintaining accurate accounting records, processing financial transactions, and assisting with budgeting and reporting duties. This role ensures compliance with not-for-profit accounting standards, donor reporting requirements, and internal economic policies.
The Accounting Coordinator operates under the direction of the Finance Manager and supports internal controls, grant compliance, and financial reporting accuracy.
The Accounting Coordinator plays a key part in supporting the organization's mission by ensuring strong financial stewardship and transparency.
Key Responsibilities
Accounts Payable & Accounts Receivable
Process invoices, expense claims, purchase orders, and vendor payments.
Monitor accounts receivable, prepare deposits, and issue receipts.
Track funding contributions, grants, and donations in compliance with donor agreements.
General Ledger & Financial Recording
Maintain accurate and up-to-date financial records in the accounting system.
Prepare journal entries, accruals, and adjustments.
Reconcile general ledger accounts, including bank and credit card statements.
Financial Reporting & Compliance
Assist in preparing monthly, quarterly, and annual financial reports.
Support the preparation of year-end working papers for audits.
Ensure financial practices follow not-for-profit regulations, CRA compliance, and grant reporting requirements.
Support compliance with funder and grant guidelines, including eligible cost requirements, documentation standards, and reporting timelines.
Budgeting & Grant Tracking
Assist with the development and monitoring of annual budgets.
Track grant budgets, expenses, restricted funding, and reporting timelines.
Provide budget and spending updates to program managers and leadership.
Payroll & Administrative Support
Support payroll processing by collecting timesheets, verifying hours, and maintaining
employee records (depending on org structure).
Assist with HST filings, government remittances, and other financial documentation.
Maintain organized digital and physical financial files.
Qualifications Education & Experience
A diploma or degree in Accounting, Finance, or Business Administration.
3+ years of accounting experience (experience in the not-for-profit or charity sector is an asset).
Working knowledge of accounting standards for not-for-profits (ASPE/ASNPO) is an advantage.
Skills & Competencies
Strong attention to detail and accuracy.
Proficient in cloud-based accounting systems (e.g., Xero or comparable platforms). Familiarity with expense and payment tools (e.g., Float, Plooto, Dext) is an asset
Strong Excel skills (pivot tables, formulas, basic analysis).
Excellent organizational and time-management abilities.
Ability to work collaboratively and communicate effectively with program teams, funders, and external stakeholders.
High level of integrity and commitment to confidentiality.
Demonstrated problem-solving skills.
Ability to follow documented processes and internal controls
Proficiency in French (written and verbal) considered an asset
