Job Description

SUMMARY OF POSITION:



The Accounting Coordinator reports directly to the Finance and Revenue Manager and provides comprehensive support across all finance-related functions. Key responsibilities include managing accounts payable, processing invoices and payments, performing data entry, maintaining and reconciling General Ledger accounts, and resolving discrepancies. Additional duties involve handling travel agent commissions and completing regular account reconciliations to ensure accuracy and compliance.


This is a part time position. 4 days a week with flexibility on days and up to 32 hours a week.

DUTIES & RESPONSIBILITIES:



Accounts Payable



Accounts Payable data entry, coding, payment and mailing (including travel agents payables). Match all invoices with purchase orders, packing slips, etc. ensuring that all bills represent authorized, legitimate purchases. Audits purchase orders for materials, supplies, equipment, and other collateral; verifies that orders are charged to the proper accounts. Review bills to the company for potential errors and/or discrepancies. Code and record expenses to the correct G/L code and cost center in QuickBooks. Reconcile vendor statements monthly. Build and maintain positive vendor relations and respond to all inquiries in a timely manner. Process bill payments

Finance & Office Administration



Assists the Accounting Manager with various accounting and office administrative duties as needed. (Could include, but not limited to: reconciliations, coordinating and processing supplies orders, filing, posting entries into QuickBooks and HMS, and organizing staff functions). Responsible for the inventory and ordering of hotel office stationery and supplies. Responsible for banking and office mail, including lost & found. Perform other duties as required.

JOB REQUIREMENTS:



Required Skills



Accounting or bookkeeping background an asset. Strong working knowledge of accounts payable. Effective attention to detail and a high degree of accuracy High level of integrity, confidentiality and accountability Able to effectively communicate both verbally and in writing Knowledge of hotel/property management operations an asset Proficient with QuickBooks accounting software an asset * Proficient with Microsoft Office
