The Position
The Account Coordinator is instrumental in supporting all facets of project planning and execution, working seamlessly with both internal teams and clients to ensure project milestones are met and delivered successfully. They are responsible for capturing and disseminating information for assigned accounts, ensuring client requirements are addressed promptly and efficiently. As adept organizers, they excel in efficient project management, working on multiple projects simultaneously, while leveraging their proactive mindset, attention to detail, superior communication skills, and drive for on time and on budget delivery. In collaboration with the Account Services department, they assess client needs, oversee related administrative duties, and foster strong professional relationships with both clients and external suppliers.
Overall Accountability

  • Support with planning, analyzing, and evaluating client work.
  • Coordinate the product and service requirements of assigned accounts.
  • Complete project management tasks as assigned.
  • Support client relationship management.

Your responsibilities as an Account Coordinator at zag:
  • Interpret proposals and develop clear actions with appropriate deadlines for client deliverables.
  • Ensure creative output meets client goals, while maintain proof and email deliverables to the client.
  • Source media and production quotes as needed and verify specifications.
  • Conduct market and industry research as needed and assist with developing media budgets.
  • Solicit metrics and program performance measures to evaluate campaign/project effectiveness to integrate into future client initiatives.
  • Identify and flag trends in the constant exchanges between clients and the Account Manager(s) and/or Director of Client Services.
  • Organize internal resources necessary for client projects, whilst fielding and processing information requests from clients and internal team members, ensuring all tasking is accurate and updated in the project management tools.
  • Provide coaching while educating clients through anticipating and managing their needs and expectations.
  • Keep critical paths and project status reports up to date, and work alongside Account Manager(s) to monitor project constraints (schedule/scope/resources), ensuring discrepancies are identified and risks mitigated.
  • Assist with developing critical paths and provide ongoing project status updates to clients, internal team members and media and production suppliers via email and phone.
  • Schedule meetings, prepare meeting agendas and provide timely and detailed meeting minutes incorporating action items and delivery dates.
  • Test and review outputted deliverables against scope within approved proposal or agreements.
  • Source assets from clients, media, and production suppliers.
  • Assist with updating client budgets and blocking charts as planning efforts evolve.
  • Attend client and industry related events, and gain familiarity with assigned accounts\xe2\x80\x99 industries, products, business culture and competition.
  • Fulfil activities which enhance, build, and nurture relationships with clients and media and production suppliers.
  • Provide ongoing status updates on projects to Bookkeeping to ensure projects and time are accurately invoiced and distributed in a timely manner.
  • Other related task or project management tasks as assigned.

Your strengths and qualifications:
  • A minimum of 1 year in an administrative role, preferably within a marketing agency or department.
  • Strong attention to detail with a customer focused mindset, and strong critical thinking and problem-solving skills.
  • Flexible and adaptable to changing project requirements, client preferences, and project and program revisions; with a willingness to learn and adapt to new technologies, tools, and processes.
  • Ability to work under pressure, tight and timely deadlines, and manage multiple projects simultaneously.
  • Ability to learn processes and systems easily.
  • Excellent communication skills, both written and verbal.
  • Well-developed and honed interpersonal skills.
  • Self-motivated with an enthusiasm to learn.

Key relationships:
  • Reports to the Account Service Director.
  • Will work closely with Account Managers within Account Services Team, as well as the Strategy, Creative, and Digital teams.
  • Will correspond with our client partners, and our media and production suppliers and vendors.
