Job Summary

The Department of Physical Therapy is growing! The Department provides the only provincial program for the education of entry-to-practice physical therapists. Through rigorous scholarly activity, high standards of instruction and creative opportunities for learning, the Master of Physical Therapy (MPT) program provides a strong foundation that supports the current and future practice of the profession. The Department is also a research-intensive unit with award winning faculty conducting state-of-the art healthcare research.

The UBC MPT program is one of the leading Physical Therapy Programs in Canada. The MPT program is fully-distributed and provides students the opportunity to study in state-of-the-art labs at UBC campuses in Vancouver and the Fraser Valley, and at UNBC's campus in Prince George. The program curriculum uses an integrated, case-based approach and is taught by the Department's renowned academic faculty and a community of clinical educators.

The Academic Education Operations Manager will manage the day to day operations of the academic education portion of the fully-distributed MPT Program, as well as a number of continuing education and revenue-generating programs for the department including: Physio Refresh, the Graduate Certificate in Orthopaedic Musculoskeletal Physical Therapy (GCOMPT), the Vancouver Summer Program (VSP), and the Alternate Clinical Evaluation - BC (ACE - BC). The incumbent will work to ensure programs are delivered within defined objectives that align with program goals and accreditation standards. The role is responsible for the hiring, training, supervising, performance evaluation, and termination of 3-6 CUPE 2950 staff. The staff team supports the delivery the academic programs across all distributed sites. The Academic Education Operations Manager will also help to develop and refine academic education policies and procedures.

Organizational Status

This position reports to the Physical Therapy Programs Manager, and works independently under general directives from the Associate Head of MPT. The role interacts with other managers and staff to provide academic support and guidance for faculty and students.

This position has the option of a hybrid work arrangement.

Work Performed

  • Manages the day-to-day planning, academic curriculum delivery and assessment of the distributed Master of Physical Therapy Program (MPT) program. This includes overseeing curriculum and written exam delivery, managing the administration of OSCEs, and ensuring that distributed curriculum delivery meet national accreditation standards.
  • Responsible for planning, scheduling, and hiring related to ACE-BC offerings as well as Physio Refresh program events.
  • Manages the delivery of continuing education and fee-for-service programs including: Physio Refresh, ACE-BC, GCOMPT, and VSP.
  • Project manages MPT course delivery to ensure exceptional program quality and equity across sites
  • Utilizing student, educator, and staff feedback, works with the PT Programs Manager to improve user experiences by creating efficiencies in workflow through creative problem solving and innovative process creation.
  • Helps to gather, analyze, and implement new strategies based on instructor and student feedback and makes suggestions for improving the student and instructor experience in academic education
  • Provides guidance on implementation of educational policies to faculty, staff, and students as required, including but not limited to, course planning, evaluation, equity and diversity, orientation, etc.
  • Manages the tracking and delivery of student academic accommodations. Advises students regarding program accommodation policies and procedures.
  • Manages the tracking of student academic progression. Advises Faculty regarding students' program progression.
  • Oversees and attends student issue meetings and student appeals proceedings in order to provide administrative expertise in decision-making processes.
  • Determines solutions to complex issues / inquiries and provides timely and accurate advice to faculty, clinical faculty and the Academic Education (AE) Senior Program Assistants in response to inquiries regarding academic delivery processes, and University and Departmental Policies.
  • Recruits and hires Graduate Teaching Assistants (GTAs) for the MPT Program to ensure courses are adequately supported.
  • Manages the planning of, and provides leadership at, all academic program related events including Orientation Week, OSCEs, ACE-BC exams, and Physio Refresh events.
  • Manages, in liaison with the Classroom Coordinator and PT Programs Manager, the purchase and maintenance of program teaching resources and facilities including classrooms, breakout rooms and practical teaching laboratories.
  • Manages, in liaison with the Classroom Coordinator, the scheduling of all program related activities and facilities, including all video conference scripting for program delivery.
  • Manages the development and preparation of a range of materials and reports related to Departmental academic programs including administrative aspects of the program's accreditation review, reports to the Physiotherapy Association of British Columbia, Physiotherapy Education Accreditation Canada, etc.
  • Manages all HR and remuneration aspects of appointment and payment of adjunct professors to deliver Departmental programs.
  • In liaison with the PT Programs manager, recommends, provides input into, and implements policies, guidelines and procedures for MPT program delivery at all distributed sites. Ensures program policies align with UBC and Faculty of Medicine policies.
  • Holds non-voting membership and acts as advisor and resource on decision-making educational committees. Moves forward action items and policy decisions from the committee level.
  • Manages the Academic Education support staff team across all distributed sites, and ensures the team is well supported in the work and that all tasks are completed successfully.
  • Supervises, coaches, and distributes work to academic education support staff team members in all distributed sites. Delivers performance reviews and, in liaison with the PT Programs Manager, provides disciplinary action when required.
  • Ensures personal and private data collected by the Academic Education team is stored and handled according to UBC Privacy Guidelines.
  • Manages special projects or initiatives as assigned by the Physical Therapy Programs Manager or the Associate Head of MPT.
  • Other required managerial duties commensurate with the skills and experience of the position as needed.
Consequence of Error/Judgement
Errors in judgment or decision-making could affect student progression through the program and the quality of student academic education. Errors could result in the creation of poorly informed policies. Errors in judgement around communications and support to faculty and students could impact the Department reputation. Incorrect actions or decisions may damage the careers of MPT students and lead to appeals.

Supervision Received
This position reports directly to the Physical Therapy Programs Manager and works under general directives from the Associate Head of MPT.

Supervision Given
Manages 3-6 CUPE 2950 staff working across three distributed sites. May be asked to supervise GTAs , temporary staff, and volunteers on special projects as required.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience
