We are seeking a
Bilingual Administrative Assistant
to provide essential support to our teams. This role is ideal for someone who thrives in a collaborative environment, values cultural responsiveness, and is passionate about community engagement.
What You'll Do
Provide on-site administrative support including reception, switchboard coverage, and handling internal service requests.
Support staff, clients, volunteers, and community partners with professionalism and care.
Manage and maintain accurate records in agency systems such as CPIN and other databases.
Prepare and format correspondence, reports, legal documentation, meeting materials, and minutes.
Coordinate meetings and presentations, including organizing logistics and materials, and documenting outcomes.
Assist with travel and transportation arrangements, ordering supplies, and maintaining inventory.
Engage with external community partners and support initiatives like one of our Affinity Group Forum, helping foster inclusive and collaborative relationships.
Contribute to the development and maintenance of administrative manuals and tracking systems.
Provide coverage and support across various program areas and administrative teams as needed.
Help orient new staff, students, and volunteers to administrative systems and processes.
Uphold confidentiality and contribute to a respectful, equity-focused workplace culture.
What You Bring
High school diploma (college diploma an asset).
Minimum 2 years of administrative experience.
Strong bilingual communication skills (French and English).
Proficiency in Microsoft Office and familiarity with CPIN or similar systems.
Excellent organizational, time management, and customer service skills.
Understanding of confidentiality and sensitivity in service delivery
Must be able to work on site as required with possibility of remote work.
Demonstrated knowledge and respect of Black culture, heritage and the historic relationship between child welfare and the Black community;
Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by the Black community;
Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by people related to gender identity, gender expression and sexual orientation faced within the 2SLGBTQIA+ communities.
Demonstrated knowledge and understanding of the culture, history and current oppressions experienced by Indigenous peoples and racialized communities.
Applies anti-racist, anti-ableist, anti-colonialism, anti-heterosexism and anti-cissexism lenses to social problems.
Experience in Child Welfare or a related service area is considered an asset
