The Yukon Quest International Association (Canada) is seeking a Race Manager who would be responsible for coordinating race logistics for the 2023 season. This is a contract position.
The Race Manager will work closely with the Yukon Quest staff and key volunteer coordinators responsible for various aspects of the race. The successful candidate will be well organized, detail-focused, with excellent people and relationship building skills. Strong oral and written communication skills along with budget and financial management skills are required. As there will be significant communication with potential racers, volunteers and the business community, experience in public relations is needed. The 2023 Yukon Quest Race Manager-Yukon is responsible for the development, coordination, and management of all logistics required for the successful production of the Yukon Quest 450 Mile, 250 Mile and 100 Mile Sled Dog races in the Yukon. Race Manager duties include providing leadership and sound communications within the Race Team and with volunteers before, during and post-race. The Race Manager position is by contract with support provided by the Yukon Quest ED. The Race Manager is responsible for supplying race logistical support, guided by the following:
  • The Race Manager, as a contractor to the Yukon Quest (YQ), will work with YQ staff to obtain insight on year-long negotiations, community relations and ensuring that media and sponsorship requirements are met. The Race Manager must coordinate with staff to ensure sufficient volunteers are in place to accomplish all goals. Additionally, the Race Manager must perform their duties in keeping with the Official Yukon Quest Rules and Yukon Quest Mission, Vision, Values and Code of Conduct.
  • The Race Manager will work closely with the Race Team, which includes the Race Marshal, Head Veterinarian, Trail Coordinators, Public Relations Team, Race Comms, Race and Trail Committee, YQ staff and other key personnel. The Race Manager must attend specific meetings and participate in conference calls.
Race Managers and Key Volunteer Positions The Race Manager must develop an overall plan and is encouraged to solicit qualified individuals to assist in the oversight of the following tasks listed: Race Managers The Race Managers will be responsible for logistics including, but not limited to, volunteers, community relations and resources. Race Communications (Comms) This individual will oversee all communications volunteers and help bring structure and consistency to communications during the race. Vehicle Coordinators Recruit a volunteer or designee who oversees the distribution of rental vehicles, and return of vehicles to rental companies at the end of the race. This volunteer is also responsible for working with the insurance company in collaboration with the Race Manager for vehicle insurance to start and discontinue. Checkpoint & Dog Drop Managers Building on the Yukon Quest’s desire to enhance its community and volunteer relations, the priority is to continue to use previous years’ checkpoint managers and when new managers are required, the priority is to source locally from the community around the checkpoint (in conjunction with the Operations Manager). Start/Finish Sound and Lighting The Race Manager will, in conjunction with the Checkpoint Manager and Operations Manager, coordinate with a volunteer or company to oversee the sound and lighting systems for the start or finish. Start/Half-way/Finish Line Coordinator The Race Manager will, in conjunction with the Checkpoint Manager and Operations Manager, secure a volunteer who will be responsible for transporting, set-up and take down of the chute structure and banners at the start/finish. The equipment is stored in Whitehorse and will be packed and returned to storage when the race is finished. Vet Check Coordinator The Race Manager will, in conjunction with the Operations Manager, assign a volunteer who is responsible for working with the Head Veterinarian to coordinate all aspects of the Vet Check. This includes scheduling of teams, ensuring sufficient staffing of vets, vet assistants and volunteers. Responsible for ensuring all necessary paperwork and supplies are available. Ensure submission of final records of all Vet Check documents and musher invoices/payments to YQ staff. Race Operations Manual Development The Race Manager must maintain a complete and accurate manual that documents all operations and actions surrounding the Race Manager role. Within this contract, the Race Manager must provide progress reports, including noted gaps or errors, regarding race operations to YQ staff that will provide information for the ongoing maintenance and development of the Race Operations Manual.
