Reporting to the Records Analyst, under the management of the Provincial Records Information Management (RIM) Officer, this position provides assistance to Departmental RIM Coordinators in organizing and safeguarding government records (in all formats) in accordance with relevant records systems, policies, standards, and guidelines.


Duties include but are not limited to:




Assist department staff in determining where documents or files fit in the Administrative and/or Operational Classification Plan; Convert records which may involve classifying, indexing, coding, re-foldering, and re-labelling with accuracy; Assist in setting up the new systems based on relevant RIM practices; Prepare boxes of records for shipment to the Provincial Records Centre for storage by properly boxing files, preparing records transfer lists, and advising RIM Coordinator when boxes are ready; Prepare boxes of records for archives or destruction by, properly boxing files, preparing records transfer lists, and advising RIM Coordinator when boxes are ready; Maintain spreadsheets appropriate to the various records, reports and documents; Coordinate with TIE (Transportation, Infrastructure and Energy) and the RIM Coordinator on the moving of records between sites and for destruction; Provide administrative support for Records Management projects by responding to requests and inquiries from staff and providing weekly updates and monthly progress reports; Participate in other records related projects as deemed appropriate by the RIM Coordinator or Records Analyst; Work with RIM Coordinators and Records Analyst to complete RIM Assessments, RIM Action Plans and to plan work schedule; and Other duties as required.

Minimum Qualifications:




Applicants must have an Admin Diploma or Grade 12 plus related RIM experience; Experience and knowledge in records management theory and practice; Demonstrated equivalencies will be considered; Proficiency in MS Office Suite (Excel, Word), Microsoft (MS) Operating Software, databases, and legacy software (such as WordPerfect); Ability to interpret retention schedules as they pertain to listing files on box inventory forms; Effective time management, interpersonal and written and verbal communication skills; Ability to interpret written and verbal instructions, procedures and guidelines; Ability to maintain safety, security and confidentiality when dealing with sensitive, confidential client information; Strong organizational skills, detail-oriented and ability to recognize and prioritize tasks; Ability to work independently; Must be able to lift boxes up to 60 pounds; Must have access to reliable transportation; The successful applicant must provide a satisfactory Criminal Records Check prior to commencing employment.
