The Workplace Specialist is responsible for providing superior hospitality service within our client facing space including meetings rooms, ensuring all hospitality and catering services are delivered professionally, effectively and efficiently at all times, working to agreed procedures, protocols and timelines and providing excellent customer service to both external clients and internal colleagues.
Key Responsibilities:

  • Tasks will include but are not limited ensuring that issues are resolved, in partnership with building management, concerning temperature control, lighting, security/building passes, maintenance issues etc.
  • Provision of hospitality and catering services, including preparation of hot/cold drinks, supply of sandwich/buffet lunches and breakfast items as requested
  • To regularly monitor the Reservation system , Engage to meet reservations needs
  • To ensure that all meeting rooms are prepared to the highest professional standard in advance of meetings and are clean and presentable at all times
  • To maintain equipment in the kitchens and hydration stations, such as the coffee machines, water machines, dishwasher etc. Report any equipment issues to the vendor immediately
  • To monitor and replenish catering crockery and consumables in the kitchen and hydrations stations
  • To follow processes and procedures to ensure that our environment is secure, safe and that our space is utilized effectively.
  • Provide support to the Office Manager, as necessary, to ensure a consistently high level of service. Tasks include but are not limited to: scanning, printing, document and file management, answering and transferring all calls, greeting clients and visitors in a polite, professional and courteous manner, act as a central source of information to deal with general inquiries from staff and visitors,
  • Assist the Office Manager with internal and external events
  • To ensure supply cabinets and closets are kept in a tidy, orderly fashion
  • Perform monthly Audits and reports as related to office
  • Order office and kitchen supplies
  • Ensure Service Now requests and Facilities inbox are monitored, respond to and complete within SLA
Required Qualifications and Experience:
  • Knowledge and good experience of providing hospitality services within a corporate/professional environment
  • Knowledge and understanding of providing superior customer service on a consistent basis
  • Proficient knowledge of Microsoft Office 365
