We're seeking a proactive and detail-oriented individual to support our workplace operations and staff needs. This role supports a hybrid team of 7 remote and 8 local members and involves providing general staff support for day-to-day ad-hoc needs including varied administrative tasks, coordinating office maintenance, managing technology logistics for new hires, employee benefits administration, completing various forms for annual renewals, scheduling meetings, booking travel, and administrative support for staff events. The Workplace Operations Administrator will play a key role in keeping our operations smooth, our people supported, and our workplace running efficiently.

Responsibilities and Duties:
Staff Support & General Assistance
Respond to varied staff requests for support, coordinating forms for completion, document requests, and some vendor communications.
Executive Director Support
Assist with varied forms of support such as scheduling, form completion, and signature coordination; assist with travel bookings and other ad hoc tasks.
Intervention Team Support
Assist with varied required support such as, filing, travel bookings, meeting coordination, and other team needs.
Office Maintenance & Supplies Coordination
Files maintained over online platforms, restock supplies, maintain shared appliances, manage mail, conduct printer meter reads.
New Hire Technology Coordination
Arrange laptops and phones for new employees; coordinate delivery to remote employees as well as local ones, liaise with IT.
Annual Renewal Documentation
Complete renewal forms for corporate filings, insurance, WCB, benefits, and varied online platforms.
Benefits Administration Support
Maintain employee records in the benefits portal; assist with updates and removals
Staff Events Coordination Assistance
Help with the planning of staff events; research venues, make reservations, and document planning sessions, and events.
Core Qualifications:
2+ years of administrative or office coordination experience
, preferably in a small or growing organization.
Strong organizational skills
with the ability to manage multiple tasks, deadlines, and priorities simultaneously.
Exceptional attention to detail
, especially when handling forms, documentation, and scheduling.
Comfort with technology
, including online portals, basic troubleshooting, and coordinating hardware (e.g., laptops, phones).
Clear and professional communication skills

Basic proficiency in Microsoft Office Suite

Compensation & Work Environment:
This is a
part-time hybrid position with flexibility to work remotely and from our Edmonton office
. While some tasks can be completed from home,
regular in-office presence is required
for responsibilities related to office maintenance, technology coordination, and team support. Our standard workday is 7.5 hours, plus a 30-minute unpaid lunch break starting at 8:30 am and finishing at 4:30 pm. The position is envisioned as a
Tuesday - Thursday work week (22.5 hr/week) to coincide with in office days of our team.
We offer a competitive
hourly rate of $25-$30/hour,
depending on experience and qualifications. Staff working 20+ hours per week are eligible for our comprehensive benefits plan after a 3-month probationary period.
You'll report directly to the Finance & HR Manager, who currently oversees all administrative operations. This role is designed to provide essential support and help streamline internal processes as our team continues to grow.
