PURPOSE:
The Workforce Assistant supports the day-to-day workforce management functions at PEI Atlantic Baptist Home Inc., a 116-bed long term care home. This role provides administrative and clerical support in areas such as scheduling, timekeeping, onboarding, payroll assistance, and general workforce coordination.
The Workforce Assistant works closely with the Workforce Coordinator and other team members to ensure accurate staff scheduling, smooth onboarding processes, and efficient communication across departments. This position plays a key role in supporting quality resident care by helping ensure appropriate staffing levels and compliance with policies and collective agreements.
This position requires initiative, good judgment of staffing and scheduling, excellent communication skills and a dedication to quality care in achieving the mission of Adding Life to the Years of our residents.
RESPONSIBILITIES
Provides administrative support for scheduling and staffing processes, including data entry, shift changes, and updating employee records.
Allocates and replaces shift vacancies in accordance with collective agreements, PEI Atlantic Baptist Home company policies, and established operational guidelines.
Supports timekeeping and payroll processing by verifying and entering information accurately and promptly.
Assists with employee onboarding and orientation by preparing materials, maintaining documentation, and helping coordinate sessions.
Responds to staff inquiries related to scheduling, time off requests, and other workforce-related matters.
Maintains accurate and confidential employee files and workforce records.
Assists in monitoring staffing levels and communicating shift vacancies or replacements as needed.
Supports workforce projects, reporting, and other administrative duties as assigned.
Ensures accurate schedules are completed and implemented within defined timelines.
Acts as point of contact for all employee requests for information and additional support on staffing and scheduling.
Performs other duties as assigned.
QUALIFICATIONS
A post-secondary degree or diploma in a related field such as Office Administration, Human Resources, or Payroll Administration, other combinations of education and experience may be considered.
1-2 years of previous experience in Human Resources/or payroll administration in a large, complex environment.
Previous experience working in a health care setting or previous experience using staffing, scheduling, or payroll software is considered a strong asset.
Experience in Microsoft Office Suites.
Experience working with Scheduling Software.
Ability to work independently and/or part of a team.
Must have a clear Canadian Criminal Record Check.
Proficiency in English is required.
