Position Summary
Bow Valley College is seeking a Project Assistant - Sales & Workforce Solutions to provide administrative and operational support to the Workforce Solutions team. Reporting to the Manager, Revenue Growth and Industry Solutions, this role ensures the smooth coordination of administrative, customer service, and operational functions that support the department's delivery of workforce and industry training solutions. The successful candidate will demonstrate professionalism, attention to detail, and strong organizational skills while contributing to a high standard of service for both internal and external stakeholders.
The Project Assistant is responsible for a range of administrative tasks, including maintaining and securing the inventory of testing and assessment materials, organizing shipments, managing records, and ensuring all materials are properly archived or disposed of in compliance with College policies. The role also includes creating and maintaining client databases, preparing reports and presentations, taking meeting minutes, and overseeing basic office equipment functionality. Accuracy in activity tracking and data entry is essential to this role.
Operationally, the Project Assistant supports the preparation, coordination, and invigilation of testing sessions. This includes ensuring materials and equipment are ready in advance, verifying client identity, and adhering to strict testing and academic honesty protocols. The role assists with the administration of assessments--such as scoring, result dissemination, and proper handling of sensitive testing materials--and provides excellent client service throughout the process. The Project Assistant also supports staff with exam invigilation both on campus and at external sites, maintaining a professional and secure testing environment at all times.
In addition to administrative and operational responsibilities, the Project Assistant contributes to departmental initiatives by providing project support, assisting with marketing activities, and participating in business planning and strategic events. Acting as a representative of the department, the individual will attend meetings, support special projects, and help drive the success of Workforce Solutions' objectives.
Minimum Qualifications:

  • High school diploma.
  • 1-2 years of experience in an administrative or related role.
  • An equivalent combination of education and experience may be considered.
Preferred Qualifications:
  • Administrative experience in an educational or post-secondary environment.
  • Experience with test marking and exam invigilation.
  • Strong organizational and communication skills with the ability to manage multiple priorities.
  • Proficiency in standard office software and tools.
