Join Beacon Community Services as the WorkBC Administrative Support 1 and play a key role in creating a professional and welcoming atmosphere for clients at our WorkBC Employment Services Centre in Sidney. In this role, you'll be the first point of contact, assisting clients with reception, supporting the self-serve resource centre, and providing crucial data entry into the Integrated Case Management (ICM) system.

Days/Hours of Work:

Wednesdays, Thursdays & Fridays 8:30 am - 5:00 pm (22.50 hours/week). One late shift 10:30 am - 7:00 pm, periodically as per schedule.

POSITION SUMMARY:




Reporting to the Director of Employment Services, the Administrative Support 1 provides key support to the WorkBC team, focusing on reception, client services in the self-serve resource centre, and data entry into the Integrated Case Management (ICM) system.

PRIMARY DUTIES AND RESPONSIBILITIES:



Create a professional and welcoming atmosphere within the Reception & Resource Centre areas. Serve as the first point of contact for all in-person, virtual, and phone inquiries from clients, the public, and community partners; provide information and direct individuals to appropriate services and resources while observing strict confidentiality guidelines. Notify Counselling and Employment Services team members of client arrivals. Provide direct assistance to clients in the self-serve resource centre, including support with BCEID registration, Online Employment Services, photocopying, and faxing. Maintain and update physical and virtual job binders, email job leads to clients, and update social media channels. Attend and participate in team meetings, and all team-related activities and events occurring during scheduled working hours. Provide vacation relief and coverage for other team members as required. Participate in ICM Training, webinars & other group training as advised by management. Assist in ICM data entry as required, including scanning, labelling and uploading documents. Hard copy client filing as required and maintain filing and up-to-date inventory of supplies required in office. Perform other duties as required.

EDUCATION AND EXPERIENCE:



Minimum of 2 years of experience in reception and/or administration. Minimum of 2 years of experience in database use. Completion of recognized post-secondary business and/or administration courses or combination of work experience and education. Knowledge of community resources. WHMIS Certification (to be renewed annually).

SKILLS AND ABILITIES:



Excellent computer skills, including MS Office and internet familiarity. Excellent communication skills, with a focus on listening, comprehension, and conflict resolution. Strong organizational skills with the ability to prioritize tasks and assess the needs of other team members. Must be a cooperative team player, solution-oriented, and show initiative. Sound judgment and a focus on results and task completion.
