This position plays a key leadership role in ensuring every event runs seamlessly, upholds our exceptional service standards, and delivers a memorable guest experience.
Working closely with clients, the Coordinator finalizes all event details--menu planning, timelines, floor plans, and special requests--while preparing and managing
Banquet Event Orders (BEOs)
to ensure all departments are aligned. During on-site events, this individual acts as the primary point of contact, overseeing staff and service execution to guarantee each aspect of the event meets Adamo Estate Winery's high standards.
This role also includes
upselling enhancements
such as premium wine selections, menu upgrades, and experiential add-ons to elevate guest satisfaction and drive revenue. A strong understanding of hospitality and wine is essential, as this position requires confidently recommending wine pairings and promoting our offerings.
The ideal candidate will be detail-oriented, guest-focused, and passionate about events and hospitality, with the ability to lead by example and foster a positive, service-driven environment.
Key Responsibilities
Serve as the main contact for clients, ensuring all event details are accurately captured and executed.
Prepare, distribute, and oversee all
Banquet Event Orders (BEOs)
and event logistics.
Supervise event setup, execution, and teardown; ensure all details meet brand and service standards.
Lead and coach service staff, maintaining a professional, guest-oriented atmosphere.
Support daily operations and ensure
Ontario liquor service protocols
are upheld.
Conduct daily inspections of event spaces for accuracy, safety, and cleanliness.
Collaborate with the F&B Manager, Sales Manager, and culinary teams to ensure seamless event delivery.
Assist with quarterly inventory of glassware, crockery, and flatware.
Attend and contribute to pre-shift, BEO, and departmental meetings.
Anticipate and resolve client concerns promptly and professionally.
Promote and upsell winery amenities and offerings to enhance guest experiences.
Maintain strong communication and teamwork across all departments.
Perform other related duties as assigned as the role evolves.
Education & Experience
High school diploma or equivalent required.
Minimum
2 years of experience
in hospitality, food & beverage, or event management.
Smart Serve certification
required.
Supervisory or event coordination experience preferred.
Physical Requirements
Flexible schedule -- must be available to work evenings, weekends, and holidays.
Ability to stand for extended periods and lift up to 50 lbs.
Frequent bending, reaching, lifting, and twisting.
