The Wellness & Support Services Coordinator oversees student appeals and advocacy, health and wellness initiatives, and acts as the main point of contact for the downtown campus. The incumbent oversees the OTSU's social support services such as First Impressions and the Period Project.
DUTIES AND RESPONSIBILITIES
Appeals
Researches and investigates university policies and relevant materials to aid in student appeals
Obtains relevant information from students necessary to assist them in filing an appeal
Offer guidance to appellants including relevant resources, university procedures, and forms
Provides advice to aid in best practices and proper wording for submission of their appeal
Follow up with students to communicate next steps in the event of a denied appeal
Student Services
Oversees the Wellness Centre, First Impressions, and Graduation Photos, including space supervision, budgeting, coordinating with external vendors, managing bookings, and ensuring cleanliness and restocking
Acts as the primary contact for advocacy-based services such as the Period Project and Legal Services
Coordinates student appointments and intake processes related to wellness services and external vendor offerings
Ensures the Period Project is running efficiently by restocking product dispensers and completing inventory counts, liaison with vendor as necessary
Processes payments for downtown locker rentals, locker rental agreements, and oversees the locker rental process and procedures
Customer Service & Event Planning
Represents the organization as the point of contact for the Downtown Campus
Responds to student inquiries via email, phone, and in-person and liaisons student inquiries to the appropriate staff member
Promotes the services of the OTSU through tabling events at the Downtown Campus
Plans, manages, and executes small-scale wellness events
Coordinates logistics of wellness events including, but not limited to, booking of rooms, filling out risk forms, invoices, and sourcing supplies
QUALIFICATIONS
Education
Post-secondary education in health education, psychology, counseling, social work, office administration or a related field required
Experience
Demonstrated experience in risk management and event coordination recommended
Ability to work cooperatively with people at all levels with respect
Previous customer service or office administration experience
Knowledge, Skills, & Abilities
Great organizational and time-management skills to manage multiple priorities
Ability to work effectively independently and as part of a team
Excellent verbal and written communication skills
Basic finance knowledge to explain budgeting and basic financial statements is preferred
Ability to think on your feet and respond quickly and efficiently in situations
WORKING CONDITIONS
Physical Effort
Some physical labour (up to 25 lbs) may be required for events e.g. moving materials, setting up folding tables, etc. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Physical Environment
The work in this position is performed within routine office conditions. There is commuting between campuses. This position is located at the Downtown Campus, with occasional travel to the North Campus.
Sensory Attention
Working on a computer, working with and communicating with students, staff and community members.
Mental Stress
This position requires demanding working hours preceding and during events, which may include early morning, evening, night, and weekend hours. The incumbent must be able to work flexible hours in order to be successful. Must be able to work in a fast paced and high-pressure environment.
