Welcome Centre Specialist
to be the first point of contact for our patients. This is a dynamic, patient-facing role for someone who thrives in a fast-paced, people-focused environment and loves creating a welcoming, efficient, and professional experience for every patient.
About the Role
As a Welcome Centre Specialist, you'll be the driving force behind our front-desk and patient experience. This includes greeting patients, managing inquiries, scheduling appointments, processing insurance, and supporting clinic operations. You'll act as a liaison between patients and our clinical team, ensuring every interaction is smooth, professional, and positive.
You'll work closely with our Clinic Lead to:
Serve as the first point of contact for patients and visitors, greeting everyone warmly and professionally.
Manage incoming phone calls, emails, and in-person inquiries promptly and courteously.
Schedule, confirm, and reschedule appointments while maintaining organized calendars and patient flow.
Verify insurance coverage, process claims, and maintain accurate patient records in Visual Eyes.
Provide administrative support to optometrists and other team members as needed.
Manage billing, including Alberta Health Care billing codes, ICD-9 codes, and third-party insurance reconciliation.
Support referrals, urgent follow-ups, cancellations, and no-shows to ensure timely patient care.
Maintain a clean, welcoming, and organized reception and waiting area.
Collaborate with team members across departments to ensure seamless patient experiences.
Take initiative in continuous learning and development, staying current with clinic processes, technologies, and best practices.

Qualifications:
Minimum 1-2 years of experience in reception, customer service, or administrative roles (healthcare or optical experience is an asset).
Strong communication, organization, and problem-solving skills.
Comfortable using Microsoft Office, Teams, and clinic systems like Visual Eyes.
Able to balance efficiency with empathy, providing excellent service while supporting clinic operations.
Reliable transportation and consistent availability.

Position Details
Job Type: Full-time (40 hours per week)
Schedule: Monday-Friday, 8:30 a.m.-5:30 p.m.
Compensation: Based on experience
