POSITION OVERVIEW

We need someone who can take our chaotic website delivery process and build scalable infrastructure around it. Right now, our founder Alec is juggling website management through a mess of Slack messages and emails while working with Clarence (our Philippines-based website builder). It works... barely. But we're scaling from 5 websites/month to 20-30/month, and we need someone who can build the systems that make that possible.

You're not just optimizing websites - you're building the entire operational framework for how we deliver website services at scale. Think: "How do I take what's currently living in Alec's head and turn it into documented, repeatable processes that work when we have 50 clients instead of 15?"

This isn't just about building websites or checking SEO boxes. You're managing projects, solving problems, training clients on their systems, and spotting opportunities to improve

The Role Today:



Full-time position (40 hrs/week)

3-5 new builds per month, scaling to 10-20 Remote, core hours 10-6PM ET Clear growth path as our website services expand

The Role in 6 Months:



10-15 new builds per month Systems running smoothly without founder involvement
WHAT THIS ROLE IS (AND ISN'T)

This Role IS:



Operations manager who implements SEO strategy System builder first, SEO specialist second Project manager coordinating multiple builds simultaneously Process documenter creating SOPs for everything Freelancer manager training and overseeing Clarence 60% operations/project management, 40% SEO implementation

This Role ISN'T:



Deep SEO strategist building complex content architectures Pure technical SEO consultant Website designer or developer Solo operator working independently - you'll collaborate with team and manage Clarence
YOUR PRIMARY RESPONSIBILITIES

1. Build Scalable Systems & Processes (30% of time)



Create the infrastructure that doesn't exist yet:



Design repeatable workflows that can handle 3x current volume Write SOPs, create checklists, build templates for every process Document "how Alec does it" and turn it into "how anyone can do it" Create QA systems that catch errors before clients see them Build project management workflows in ClickUp Identify what should be automated vs. done manually Create training materials (Looms, guides) for clients and team

Your first 30 days will be:

Shadow the chaos ? Document the chaos ? Fix the chaos

Success looks like:

Alec can take a 2-week vacation and websites still launch on time

2. Website Project Management (35% of time)



Own the entire delivery process from handoff to launch:



Manage Clarence (Philippines-based website builder):



Review her initial builds using QA checklists Provide clear, specific feedback on revisions needed Train her on SEO best practices so she builds it right the first time Coordinate timezone differences effectively Build systems that make her more autonomous

Handle Complex Technical Work:



Website migrations (domains, DNS, hosting transfers) Blog migrations with redirect mapping and backlink preservation A2P10DLC phone number registration Google Analytics and Search Console setup Technical troubleshooting when things break

Client Coordination:



Send preview links and manage approval cycles efficiently Get on calls when needed to walk through revisions Triage all website-related emails and respond appropriately Keep projects moving without endless revision loops

Target Timeline:

Complete website builds in 1-2 weeks (currently taking 3-4 weeks)

3. SEO Implementation & Optimization (25% of time)



Execute local SEO strategy for fitness businesses:



Initial Optimization:



Keyword research for each client's local market On-page optimization (H1s, H2s, meta descriptions, alt tags, schema) Content updates based on keyword analysis Google My Business setup and optimization Local business listings where beneficial

Ongoing Management:



Monthly performance monitoring in Search Atlas Review heat maps and user behavior data Make adjustments to improve rankings Send monthly performance reports to clients Fix technical SEO issues as they arise

Content Systems:



Build/manage AI-assisted blog posting system Create keyword-targeted blog content Make sites "stickier" so clients see ongoing value

This is SEO

, not strategy development. You're executing proven local SEO tactics for service businesses, not conducting deep competitive analysis or building sophisticated content architectures.

4. Team Collaboration & Communication (10% of time)



Participate in daily huddles (Tues-Fri, 11AM ET, ~15min) Update leadership on project status, blockers, wins Collaborate with Client Success team on website-related issues Flag opportunities to upsell or expand services Communicate proactively via Slack
WORK ENVIRONMENT & EXPECTATIONS

Communication

: We primarily use Slack for internal communication. Responsive communication is essential to our team's success.

Meetings

: Team meetings/daily huddles are conducted via Zoom (Tuesday-Friday, 11:00AM EST, ~15min).

YOU'LL EXCEL IN THIS ROLE IF YOU:

2+ years experience with SEO

- You know keyword research, on-page optimization, local SEO, and can explain it clearly

Experience with website project management

- You've coordinated builds, handled revisions, dealt with domain transfers and DNS

Proficiency with SEO tools

- Comfortable learning Search Atlas (or similar: Ahrefs, SEMrush, Moz)

Strong written English communication

- You'll write client emails, reports, and documentation daily

Self-directed work style

- We're remote, async-friendly, and need someone who drives their own projects

Technical comfort

- CRM, DNS records, Google Analytics, tracking pixels, CMS platforms don't intimidate you.

Strong written English

Experience with fitness/wellness businesses

- Understanding the industry helps with keyword research and optimization

Google Ads knowledge

- Some of our SEO work intersects with paid ads (keyword overlap, landing page optimization)

AI/automation familiarity

- Can you build a ChatGPT custom GPT? Set up a Zapier workflow? We want that curiosity

Agency background

- You've managed multiple client projects simultaneously and understand service delivery

ClickUp or similar PM tool experience

- That's how we track website projects

Bonus Points:



You've built systems from scratch before (not just followed existing processes) You can spot when something should be automated vs. done manually You've trained clients on technical platforms before You have design sensibility (not graphic design, but you know what makes a page work)

What Success Looks LikeFirst 30 Days:



Shadow 5 website builds end-to-end and document current process Identify and document 5 major process gaps or bottlenecks Take over QA review of Clarence's builds using checklist Successfully launch 3 websites with minimal supervision Create first draft of website delivery SOP

First 90 Days:



Own entire website delivery process with zero Alec involvement Build and implement project management system in ClickUp Reduce average website delivery time from 3-4 weeks to 1-2 weeks Create client-facing tutorial content (Looms or written guides) Send monthly reports to all website clients Train Clarence on 3 process improvements that reduce revision cycles Build automated blog posting system for 5 clients

First 6 Months:



Manage 20-30 active website clients with monthly optimization Handle 10-20 new website builds per month smoothly Build and document SOPs for all major website processes Implement 2-3 significant automation improvements Website delivery runs like clockwork without founder involvement Proactively identify opportunities for service expansion
