About the Role
As a member of Tax & Benefits Team, the Volunteer Coordinator is responsible for coordinating agency volunteers who provide critical support and service delivery to our programs. This essential role will involve all aspects of coordinating a volunteer team including development of new talent, retention & appreciation, training & orientation, data collection & analysis, and on-site team support. A priority for this role will foster the supportive, trustworthy, and collegial atmosphere we are known for. As part of the Tax & Benefits Team, the role will be involved in other administrative duties, and work collaboratively with the team to deliver our program.
KEY RESPONSIBILITIES
Volunteer Management & Development:
Attract, recruit, interview, and onboard new volunteers, focusing on growing a diverse and well-rounded team.
Develop, facilitate, and deliver volunteer orientation sessions.
Implement appreciation and recognition initiatives for volunteer contributions.
Foster connection and relationship building, nurturing a collegial atmosphere and interactions between volunteers and staff, both in person and virtually.
Manage concerns and conflicts among volunteers, staff, and clients.
Develop, encourage, and coach volunteers to improve their skills and capacity.
Identify opportunities for new and evolving volunteer roles.
Administration & Data:
Update and maintain information databases and registration systems.
Provide admin support to Tax & Benefits Team, and counselling intake as required.
Manage volunteer related accounting duties such as petty cash and reimbursement requests.
Annually update and prepare volunteer agreements and policies.
Tax Clinic Support:
Schedule volunteers
Attend tax clinic and service delivery locations to provide support for volunteers, and ensure smooth running of operations. Note: This may include travel within Winnipeg and surrounding areas, and some flexible working hours (e.g., 7am-3pm during tax season)
QUALIFICATIONS, SKILLS AND ABILITIES
o Leadership and Team Building:
Ability to sustain and build a volunteer team based on trust and integrity, serving program participants with empathy and expertise. Strong supervisory, mentorship, and coaching skills.
Time Management:
Excellent organizational and time-management skills with the capacity to multitask and manage a range of tasks concurrently.
o Communication:
Exceptional written and verbal communication skills, with the ability to liaise and network effectively with diverse individuals, groups, and agencies. Conflict resolution and de-escalation skills required.
o Technical Proficiency:
Proficiency with computer programs, including Microsoft Office products, Google products (Workspace/Classroom), virtual presentation/communication platforms, and general internet usage. Experience with Airtable, Corsizio, and Canva is an asset.
o Autonomy & Collaboration:
Proficiency in working independently and as a member of a team.
o Satisfactory Criminal Record Check
Education:
Post-secondary degree or diploma in a relevant field (e.g., business administration, social sciences, human resources) or equivalent combination of education and experience.
Certified Volunteer Administrator (CVA) designation.
Experience:
Minimum of 3 years of experience in volunteer management or equivalent role.
Demonstrated experience in volunteer supervision, management, and training.
Experience working with diverse client populations and community partners.
