Position Summary:
Volunteer Coordinator and Online Program Engagementis a dynamic role that combines volunteer management with program communications and social media support.
This position involves creating, coordinating, and promoting online programming opportunities for participants. This includes designing and facilitating online sessions, recruiting participants, managing digital engagement tools, and building a strong online presence that complements onsite programming.
The coordinator plays a key role in engaging volunteers in meaningful opportunities and amplifying SMH's impact through digital outreach and engagement across social media and online platforms.
Responsibilities:
Volunteer Coordination
Develop and implement a strategy for engaging new volunteers and supporting/retaining existing volunteers.
Manage all aspects of volunteer engagement, including recruitment, screening, onboarding, training, and appreciation.
Complete all required forms, documentation, recruitment, and onboarding procedures according to established protocols and policies and accreditation standards.
Review/update volunteer manual, job descriptions, policies, and schedules as needed.
Support fundraising initiatives, providing ongoing support to volunteers involved in activities.
Collaborate with SMH team, managers, and Board of Directors through committees.
Act as liaison between volunteers, staff members, and onsite community partners.
Maintain accurate records and volunteer database (information, activities, hours, training, required documentation, emergency contacts, etc.).
Oversee in-kind donation program and donation management systems.
Coordinate weekly food hamper distribution program, including volunteer schedules and logistics.
Coordinate, support, and oversee volunteers working on special events/activities.
Conduct volunteer satisfaction check-ins and performance reviews.
Lead volunteer appreciation and recognition events/programs.
Support donation efforts by coordinating with volunteers and staff.
Promote donation drives and ensure donated items are organized and distributed effectively
Program Support & Social Media
Record programs, activities, workshops, and events through video and photos.
Edit multimedia content to create engaging, high-quality materials tailored for different platforms.
Build and maintain a strong consistent online presence for SMH.
Post and manage content across organizational social media and accounts platforms (Facebook, Instagram, TikTok, YouTube) ensuring ongoing engagement and an online presence for SMH.
Develop and maintain a social media content calendar to highlight programs, events, and community initiatives.
Write captions, hashtags, and descriptions that align with the organization's voice and messaging.
Monitor engagement, comments, and messages, responding or flagging as appropriate.
Collaborate with program staff to identify key stories, highlights, and updates for online promotion.
Ensure all content reflects SMH's values and maintains confidentiality.
Track social media performance and prepare basic analytics reports.
Stay informed about social media trends, tools, and best practices.
Collect participant feedback and contribute to program evaluation and reporting.
Support communication with participants (phone, email, social media groups).
Help organize and document program resources to keep shared files and tools updated.
Create (or produce) and contribute to regular newsletters, program guides, and promotional materials.
Provide general administrative support to ensure smooth program operations.

Required Knowledge and Skills:
Knowledge and experience with volunteer recruitment, screening, onboarding, and retention practices.
Strong understanding of program delivery support, including event logistics, participant engagement, and administrative coordination.
Ability to develop and distribute promotional and communication materials for programs and volunteers.
Knowledge of social media platforms (Facebook, Instagram, TikTok, YouTube) and experience managing organizational accounts.
Photography and video-editing skills, with the ability to create engaging multimedia content.
Strong organizational and time-management skills with the ability to balance multiple priorities.
Comfortable engaging with other staff members, program participants, volunteers, and community partners in a professional and supportive manner.
Ability to collect, maintain, and report on data related to volunteers and programs.
Competence with standard office software (Word, Excel, Outlook, Canva or similar design tools).
Ability to work independently as well as collaboratively within a team.
Bilingualism (English/French) is required.
Schedule:
Monday to Friday - some evenings and occasional weekends
Language:
Capacity to provide services in both official languages is required.

In person onsite and in the community as required
