Volunteer & Community Relations Coordinator

Job Description

Reporting to the Director, People & Culture, the Volunteer & Community Relations Coordinator leads and manages WINS' volunteer program, which includes two distinct streams -- individual volunteers and group volunteers. This role supports WINS' mission and its goal of being a Great Place for All by ensuring volunteers are effectively engaged, supported, and contributing meaningfully to WINS' community programs and social enterprise operations.



The role partners with various business functions, and supports site leadership in managing volunteers for efficiency, productivity, and positive volunteer experiences, while maintaining a strong health and safety mindset in all aspects of volunteer coordination

Duties and Responsibilities:



Volunteer Program Management

Manage and grow both individual and group volunteer streams, ensuring alignment with WINS' mission, values, and strategic goals. Oversee the full volunteer life cycle -- recruitment, onboarding, engagement, retention, and recognition. Develop and maintain relationships with community partners, businesses, schools, and organizations to expand group volunteer opportunities. Identify opportunities to strengthen volunteer engagement, efficiency, and community impact. Provide ongoing support and guidance to managers and volunteers, fostering a positive and engaging volunteer experience by addressing concerns, answering questions, and providing feedback. Organize and lead regular check-ins with volunteers to ensure satisfaction and continued engagement. Other duties as assigned.

Data & Systems Management

Maintain and ensure accuracy of the volunteer CRM (Volgistics) to support data integrity and reporting. Track and analyze volunteer metrics to monitor performance, identify trends, and inform continuous improvement. Closely work with managers in tracking volunteer hours and ensure accurate record-keeping.

Stewardship, Recognition & Retention

Design and implement stewardship initiatives that value volunteer contributions and promote long-term engagement. Gather and respond to volunteer feedback to enhance program quality and satisfaction.

Cross-Functional CollaborationPartner with Fund Development, Marketing, Programs, and Social Enterprise to align volunteer engagement with organizational priorities Provide volunteer support to annual or special events when applicable Provide guidance to site leadership on volunteer scheduling, coordination, and positive engagement practices.

Health & Safety, Compliance



Collaborate with site leadership and Health & Safety Lead to ensure volunteers are trained in safe work practices and procedures. Collaborate with the People & Culture team to ensure compliance and best practices are maintained in managing the volunteer program.

Requirements:



Post-secondary education and/or an equivalent combination of education and experience. Minimum 3-5 years of relevant experience in volunteer coordination, community engagement, or a related field. Experience managing both individual and group volunteer programs. Proficiency in CRM systems (e.g., Volgistics) and volunteer data management. Working knowledge and understanding of social media platforms Must be able to provide satisfactory results of Criminal Record and Vulnerable Sector Background Check. Must be legally eligible to work in Canada.

Strong relationship building, communication, and organizational skills. Collaborative and adaptable, with the ability to support site leaders in achieving operational and engagement goals. Demonstrates strong commitment to health and safety, fostering a secure and supportive environment High level of professionalism, integrity, and confidentiality. Proficiency in MS Office (Excel, Word, Outlook) and CRM platforms. Valid driver's license and access to a vehicle for travel between WINS sites. * Professional manner with the ability to respond appropriately to a variety of requests/inquiries.
