The Volunteer and Office Coordinator plays a vital role in the efficient operation of the Kamloops Food Bank by overseeing the volunteer program and supporting day-to-day office coordination. This position requires excellent communication skills, attention to detail, proficiency with Canva and the ability to work effectively with diverse groups. As one of the key public faces of the Kamloops Food Bank, the Volunteer and Office Coordinator provides a welcoming environment for clients, volunteers, and visitors, while ensuring smooth coordination of volunteer activities and professional representation at community events.
Key areas of responsibilities
1) Office coordination
Greet clients, volunteers and visitors in a friendly and professional manner
Answer phone calls, emails and inquiries, providing accurate information and assistance
Direct clients to appropriate services and resources
Support Kamloops Food Bank events, including occasional weekends and evenings
Maintain a clean, welcoming and organized reception area and office environment
2) Volunteer program management
Recruit, train and schedule volunteers for activities such as sorting, packing, client assistance and events
Deliver orientations and training to ensure volunteers understand their roles and responsibilities
Supervise and support volunteers during shifts, providing guidance and encouragement
Maintain accurate volunteer records, including hours, roles and contributions
Foster a culture of recognition and appreciation for volunteers
Handle confidential information with discretion and integrity
3) Coordination and communication
Collaborate with staff members to coordinate volunteer activities with operational needs
Assist with the development and implementation of policies and procedures
Create engaging materials (posters, presentations, newsletters, social media graphics) using Canva and other design programs
Bring a creative, solutions-oriented approach to office and program communications
4) Administrative support
Assist with data entry, filing and other administrative tasks
Prepare reports on volunteer activities, including hours served and overall program impact
Assist with internal and external communications as required
Must have a Class 5 driver's license
5) Event support and coordination
Assist with the planning, promotion, and execution of Kamloops Food Bank events
Coordinate volunteers for event setup, operation, and teardown
Provide on-site event support, ensuring smooth operations and a positive experience for participants
Collaborate with staff and community partners to strengthen event impact
Working conditions
The Volunteer and Office Coordinator works both on-site at the Kamloops Food Bank and occasionally off-site at events, engaging with clients, volunteers, staff, donors and community partners. The role involves standing, lifting and walking during distribution hours.
